Summary:

The Assistant Registrar for Data Management assists in the supervision, development, planning, and coordination of the College's Student Records and Registration Office, provides related services to achieve the objectives of the Student Records and Registration Office, and participates as a member of the Enrollment Division to achieve the goals of the division and the College. This position is responsible for overseeing the management, integrity, and security of institutional data. This position plays a critical role in supporting the institution's academic and administrative operations by providing accurate, timely, and insightful data analysis.

Essential Duties and Responsibilities:

  • Data Management and Governance:

    • Develop and implement data management policies, procedures, and standards to ensure data quality, accuracy, and consistency.

    • Oversee the collection, storage, and retrieval of institutional data, including student records, faculty information, and financial data.

    • Serves as a subject matter expert and leader within the Registration and Student Records Office, along with the Registrar and Associate Registrar with respect to Workday.

    • Collaborate with the Office of Information Technology and other departments to ensure data security and compliance with relevant regulations (e.g., FERPA, HIPAA).

    • Establish and maintain data governance structures, including data ownership and stewardship roles.

    • Works closely with the Office of Information Technology and the Registrar and Associate Registrar to maintain the student records system. Specific responsibilities may include system set up, testing, reporting, data clean up, and other related items.

    • Testing and maintenance of our current registration system and developing workflows to maximize the capabilities of Workday.

  • Data Analysis, Records Management and Reporting:

    • Conduct data analysis to support institutional decision-making, research, and reporting.

    • Develop and maintain data reports and dashboards to monitor key performance indicators and trends.

    • Provide data-driven insights to inform strategic planning and operational improvements.

    • Collaborate with faculty and staff to understand data needs and provide appropriate support.

    • Serves as reporting lead for operational responsibilities of the records office.

    • Works collaboratively with academic departments and Assistant Registrar, Academic Scheduling and Registration to manage course scheduling as needed.

    • Assists with all registration procedures, and oversees changes to the online student services system, providing documentation when required.

    • Assist in the supervision of support staff, including workload and jobresponsibilities.

  • System Management and Integration:

    • Oversee the implementation and maintenance of student information systems (SIS) and other data management systems.

    • Oversees National Student Clearinghouse submissions and error reports; provide support with other report requests.

    • Serves as the liaison with the Associate Registrar to Academic Affairs for technical matters related to the curriculum structure for the College's catalog.

    • Manage data integrations and data flows between various systems to ensure data accuracy and consistency.

    • Stay current with emerging technologies and trends in data management and analysis.

  • Regulatory Compliance:

    • Ensure compliance with federal, state, and institutional regulations related to data privacy, security, and reporting.

    • Oversees National Student Clearinghouse submissions and error reports; provide support with other report requests.

    • Coordinate with legal counsel and other relevant stakeholders to address data-related legal and compliance issues.

  • Other duties as assigned by leadership

Organizational Relationships:(1) Responsible to the Registrar for performance of assigned responsibilities; (2) Relates to College and department goals.

Performance Standards: Performance in this position is considered satisfactory when: (1) Mutually agreed upon objectives have been attained within a specific time frame; (2) Responsibilities of the position have been carried out at a level consistent with performance objectives; (3) Effective cooperative relationships exist with the other members of the administrative team; (4) Leadership competencies are exhibited in a manner consistent with institutional norms such that positive team/employee relations are fostered and employee developmental needs are proactively addressed.

Qualifications:

  • Bachelor's degree in information systems, data science, data analytics or a related field.

  • Minimum of 3 years of experience in higher education administration, with a focus on data management and analysis.

  • Strong understanding of data management principles, including data quality, security, and governance.

  • Proficiency in data analysis tools (e.g., SQL, Python, R, Tableau).

  • Excellent computer skills required including, but not limited to, expertise with SIS software, reporting software, CRM tools, other higher education software and Microsoft office software.

  • Excellent communication and interpersonal skills with the ability to relate to students, academic personnel, and staff and a developed ability to work with and relate to community constituencies.

  • Ability to work independently and as part of a team.

  • Demonstrated ability to adapt to change: institutional expectations/priorities, colleagues, student, and community characteristics.

  • Desire and ability to make decisions based on an orientation that focuses on service to the clientele of the College.

  • Demonstrated commitment and experience working with diverse populations (race, ethnicity, sexual orientation, socio-economic status, etc.

  • Demonstrated competency to serve in an administrative capacity.

  • Prior experience working in a student records office and experience with applicable laws/regulations e.g. FERPA is preferred.

Preferred Qualifications:

  • Experience with data warehousing and business intelligence tools.

  • Knowledge of industry standards and best practices in data management.

  • Excellent analytical ability required-interpret, utilize data for decision making, utilize reporting tools to manage and access data.
