JOB DESCRIPTION AND POSITION REQUIREMENTS: The Pennsylvania State University Department of Physics is seeking a candidate for an Administrative Assistant (Intermediate Support). The Administrative Assistant will be a detailed oriented and organized individual who will provide high quality support to faculty members with administrative and financial functions. This position will perform various tasks with minimal supervision. Duties will include: assisting with facilities management for the four Physics buildings while working closely with the department's Facilities and Safety Representative; maintaining/updating/monitoring the Physics Department website and digital presence while working closely with faculty and promoting the department on social media, updating publications and creating videos; managing the part-time hiring process for all part-time hires for the Physics Department from posting positions to hiring; providing administrative support for the department head's research group and for newly hired tenure track faculty and their research groups which will include monitoring and maintaining budgets, utilize SAP Concur to reconcile p-card purchases, purchase order requests and travel reimbursements, utilizing SIMBA to monitor fund expenditures, funds availability and grant end dates. The successful candidate will work closely with faculty in the department, with Eberly College of Science (ECoS) Finance Office and Research Office to facilitate processing of appropriate forms and documents.Excellent interpersonal and organizational skills are essential, along with the ability to work both independently and as a member of a team. This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.
