Medical Engineering Data Coordinator

Summary:

Under general supervision the Medical Engineering Data Coordinator reports to the Medical Engineering Manager/Vendor Services. Under general supervision processes data identifies system issues and assists in the maintenance of the Medical Engineering database system.

Responsibilities:

Answer each phone call using organization protocol. Answer phone continuously and appropriately handles calls to satisfy caller*s needs. Speak knowledgeably of all available services in responses to inquiries to assure customer satisfaction and appropriate coordination of services.

Ensures receipt and recording of all vendor service reports received by service vendors. analyzes service reports sent by vendors for accuracy identifies errors and resolve all errors.

Prepares and reviews vendor reports designed to validate data and provide trending information for analysis by others. Performs special intra-departmental projects as needed.

Prepares related spreadsheets and databases needed for analyses. Accesses various information resources to search for data and develop reports. Requests special report runs and modify report specifications as needed to meet user needs.

Responsible for the coordination of all data entry data validation and database enhancement solutions.

Responsible for maintaining departmental files per accreditation and/or documentation requirements.

Responsible for generating hard copy purchase orders to vendors for onsite services repairs and replacement parts requests for in-house service technicians.

Reviews information and data submitted to department for accuracy and compliance with accreditation requirements prior to entering departmental database.

Regularly reviews department email box to ensure that all vendor services reports are current and documented in a timely manner. Communicates promptly to manager any discrepancies in data.

Recommends methods to monitor update and assess quality of data available for reporting needs. Alerts manager of data inconsistencies.

Data collection necessary for preparation of reports to support hospital and JCAHO and CMS and all other regulatory agencies for accreditation.

Maintains quality assurance and safety in accordance with established hospital department policies procedures and objectives.

May participate in the orientation of new data coordinator employees to the Department by explaining procedures and provide assistance as necessary.

Performs other related duties as assigned.

Incumbent functions independently within a broad scope of department policies and practices; generally refers specific problems to manager only where clarification of departmental policies and procedures may be required.

Equivalent to a high school diploma or equivalent.

Minimum 2 years of relevant experience or the equivalent combination of data management education and demonstrated proficiency in MS Word MS Excel and MS Access data base applications.

Experience in a hospital setting strongly preferred.
