Essential Job Functions
The Department of Counseling, Family Therapy, and Higher Education is one of five departments in the Reich College of Education, offering programs that prepare students for human services positions in K-12 schools, colleges/universities, and mental health agencies.
The Student Support Services Specialist supports the department's programs and serves as an administrative assistant to the department chairperson. Responsibilities center around student services and records, course schedules and registration, and departmental communication and PR.
Duties and responsibilities include but are not limited to:

  • Maintain student records
  • Coordinate course scheduling and registration for the department
  • Manage departmental communications and PR, including websites
  • Effectively use software systems such as MS Office, Excel, Google Suite, Canva, and website editing programs
  • Maintain knowledge of departmental and institutional information, policies, and procedures

Knowledge, Skills, & Abilities Required for this Position

  • Experience navigating computer applications including MS Office, Excel, and Google Suite
  • Records management skills
  • Excellent grammar, spelling, and communication skills (written and oral)
  • Strong organizational skills and attention to detail
  • Able to take initiative
  • Individual must be highly organized, thorough, reliable
  • Must have the ability to work independently

Preferred Qualifications

  • Bachelor's degree or higher
  • Thorough knowledge of standard office practices and procedures
  • Eexperience in an academic environment
  • Records management skills
  • Strong working knowledge of computer applications including Google Suite
  • Excellent verbal and written communication skills
  • Problem solving skills

Communication - Verbal:

  • Communicate clear and accurate information verbally to various stakeholders about programs within the department and about institutional policies and procedures.
  • Communicate regularly to share information verbally with with Department Chair/Assistant Chair, office staff, faculty, students, and departmental graduate assistants.
  • Effectively communicate verbally to gather information from staff members across campus.


Communication - Written:

  • Independently compile, analyze, assimilate, and compose information into varied or non-standard formats with responsibility for content review, accuracy, quality, and timelines, requiring in-depth program knowledge and interpretation.
  • Communicate clear and accurate information in writing (and via websites) to various stakeholders about programs within the department and about institutional policies and procedures.
  • Communicate effectively in writing (including email and chat) with Department Chair/Assistant Chair, office staff, faculty, students, and departmental graduate assistants.
  • Complete paperwork/forms (e.g., Internship Inventory data, hiring GAs) accurately.
  • Maintain departmental listservs/Google Groups and websites to ensure content is accurate and clear.

Knowledge - Program & Organization
  • Maintain in-depth knowledge of program policies and procedures related to graduate admissions, assistantships, student employment, program requirements, records management, communication, scholarships, course scheduling, registration, graduation, and office operations.
Pay will be commensurate with applicant competencies, budget, equity and market considerations.
