Responsibilities The Correspondence Specialist is responsible for all electronic and paper correspondence in the business office. They will work with Customer Service to receive updates related to open balances, to include attorney requests, settlements, paper checks and EOBs, insurance letters, recoupment or repayment requests, etc. They will be responsible for routing all documentation to its proper owner in a timely manner. The Correspondence Specialist will manage documentation within the lockbox and prioritize payments and remittance to ensure all outstanding items are posted same-day. They will receive intra-office mail and external mail, and may be required to send outbound mail as needed. Works under the Customer Service Manager to receive and disposition all electronic and paper correspondence in the business office. Indexes all documents to appropriate location. Retrieves lockbox documentation and prioritizes payments and remittance to the Posting team for same-day posting. Receives intra-office and internal mail, and sends outbound mail as needed. Notes patient accounts for updates to insurance payment statuses. Strictly adheres to all HIPAA standards. Qualifications Education: High school graduate or equivalent preferred. Experience: Minimum of one (1) year in Insurance Follow-Up or Billing is preferred. Experience with Epic or OnBase is preferred but not required. Working Knowledge: Ability to learn different types of insurance correspondence, and have a foundational working knowledge of medical insurance. Essential Cognitive Abilities: Requires strong communication and organizational skills. Must demonstrate independent judgment and sound reasoning ability. Ability to maintain concentration and organization while dealing with multiple issues and frequent interruptions. Interpersonal Skills: Ability to interact with other departments, physicians, hospital and practice leadership, and peers to enact proactive charge capture practices. Must be able to communicate technical and legal details to all parties involved, and provide education on focus areas. Every team member at OHH plays an integral role in our patients' experience.
