Job Summary

The Business Operations Manager will oversee a few hospital clinical and non-clinical departments. Support the VPs with data analyses, project management and meeting preparation. The Business Operations manager will be responsible for managing multi-disciplinary projects, and initiatives. This often includes leading multidisciplinary performance excellence improvement teams, engaging stakeholders in process redesign, and designing systems to assure high reliability and sustainability. The Business Operations Manager will lead process improvement, capacity management, LOS reduction and hospital improvement projects on behalf of the VPs.

Essential Functions

  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Responsible for key performance indicators of assigned departments. Ensures efficient and smooth operations of assigned areas.
  • Works with the Directors and VP to develop financial forecasts, business plans, operating budgets, capital budgets for Hospital.
  • Assist in hiring, training and supervising staff for the areas of oversight and assigned programs.
  • Perform detailed data analyzes leveraging various business intelligence tools and present to leadership team.
  • Prepare presentations and meeting material for the leadership team.
  • Lead capacity management, LOS reduction and access improvement projects across all TJUH and Methodist hospital.
  • Develop and implement tactics to improve patient satisfaction and staff engagement.
  • Utilize project management and leadership principles to manage team activities, track project status and results.
  • Project Excellence/Leadership includes identifying opportunities; defining and financially justifying projects/programs; allocating resources; launching project teams; utilizing project management and leadership principles to manage team activities; tracking project status and results; anticipating and removing barriers; and developing team members.
  • Support operational improvement efforts to drive operational efficiency and clinical programmatic growth.
  • Identify trends and process improvement opportunities across departments within operations.
  • Lead and support hospital operations improvement projects. Assist operations leaders in resolving project problems, escalating issues when necessary, and facilitating decision-making.
  • Planning, managing, evaluating, and controlling the financial performance and standards of excellence to maintain high quality services to achieve both the divisional and regional goals and objectives set forth.
  • Coordinate large initiatives/projects, manage all tasks required and achieve targeted deadlines. Providing leadership for the development of strategies while ensuring the

  • Assures that patient care objectives are met. Through collaboration, develops, allocates, and administers the budget as necessary for accomplishment of established objectives and programs. Is responsible for the department's mission statement, strategic plans, resource allocation and operational plans and policies.
  • Ensures that all Federal, State, local and accreditation standards are met and maintained. Promotes and maintains own professional development.

Operational:

  • Excellent Project Management skills, strong management and problem-solving skills.
  • Develop and maintain detailed project plans, this includes utilizing standard project documentation and methodology and project tracking and reporting procedures
  • Manages the project assigned areas, scope, resource requirements, political barriers, and the potential ROI while prioritizing projects accordingly
  • Engages other Jefferson leaders with formal to accelerate transformational initiatives aligned with enterprise / North region operational improvement initiatives. Develops and Maintains relationships with these individuals other Jefferson leaders and develops them accordingly.
  • Hires, supervises, coaches, develops, and recognizes leadership staff within the scope of respective departmental oversight.
  • Develops and deploys robust, executive oriented, analytics tools using Qlik, Epic, and other benchmarking tools to track progress.
  • Participates in divisional Thomas Jefferson University Hospital and Regional committees/teams to help develop and disseminate best practices. Engages staff and management in service and operations improvement projects.
  • Communicates and shares data, reports, and best practices to increase awareness, buy-in, and recognition of improvement efforts.

Minimum Education and Experience Requirements:

Education:

Bachelor's degree, Master's Degree required (MBA, MPH, or equivalent)

AND

Experience:

  • Minimum of three years managerial or project management experience in business or healthcare administration to include demonstration of advanced knowledge and application of management skills, medical staff relations, financial management, business development, and clinical department operations.
  • (5) years minimum in a supervisory and/or leadership experience role preferably in a complex healthcare facility with expertise in (operations, finance, project management, performance improvement).
  • Possesses administrative, managerial experience, financial, budgetary control and technical knowledge necessary to provide operational oversight to run effective and efficient departments.
  • Experience in non-profit preferred.
  • Demonstrated ability to drive improvement projects and organizational results
  • Excellent relationship-building and relationship management skills
  • Excellent project management skills, with the ability to develop plans, manage and prioritize multiple tasks
