Position Description

  • Provide administrative support to the executive team and assist the Office of the Corporate Secretary in performing administrative functions for the board of directors.


  • Essential Job Tasks:
    Manage Executive Calendars:
  • Coordinate and schedule meetings with internal and external stakeholders, ensuring all participants are available.
  • Make arrangements for meeting accommodations.
  • Prioritize executives times effectively.
  • Resolve scheduling conflicts by proposing alternative times or locations.
  • Communicate changes and updates promptly.
  • Coordinate travel arrangements.
  • Keep track of travel itineraries and any related appointments.


  • Plan Management and Staff Meetings:
  • Schedule meetings and coordinates logistics.
  • Gather and organize relevant materials or documents needed for meetings.
  • Prepare and distribute agendas.
  • Prepare and organize documents, reports, and presentations for meeting.
  • Prepare, distribute, and maintain meeting minutes.
  • Respond to requests for meeting information.


  • Communications:
  • Serve as the executive's primary point of contact for internal and external communications, handle inquiries and correspondence within limit of authority, including handling sensitive documents and information with confidence and discretion.


  • Board & Executive Support:
  • Provide support to the Office of the Corporate Secretary in planning and preparing for board and management functions by planning itineraries, preparing invitations, coordinating travel arrangements, processing expenses related to travel, and attending functions as requested.
  • Coordinate, complete, and process the filing all Statement of Economic Interest for Board of Directors and officers of the company.
  • Administer annual compliance with the Conflicts of Interest Policy, to include obtaining proper documentation from employees/supervisors.
  • Process approved contribution requests, arrange for distribution and provide quarterly and annual summaries for the board and management.


  • Information & Budget Management:
  • Organize and maintain important documents and information, ensuring easy access and confidentiality.
  • Assist with financial tasks such as budgeting, expense tracking, and reporting to ensure financial accountability.
  • Monitor vendor statements submitted for payment, checks for accuracy, and maintains file of original invoices.
  • Submit and process payments for approval.


  • Special Projects and Miscellaneous Tasks:
  • Assist with special projects and outside activities, such as United Way and other civic organizations.
  • Perform other ad-hoc administrative tasks as needed, which may include duties that support the executive team and the organization as a whole.


  • Position Requirements

  • High School Diploma/GED + 5 years experience required.
  • Background in Administration + 2 years supporting executive or senior-level management preferred.


  • Compensation Information:
    $29.45 - $36.80 (min. - mid.)
