Description

The Procurement and Travel Specialist serves as the primary resource to Catholic Charities and Catholic Charities Housing Services employees for ordering supplies & equipment and coordinating travel arrangements for business-related needs. Using excellent communication skills, the Procurement & Travel Specialist acts as liaison between vendors and our staff to ensure effective use of agency funds while meeting the purchasing and travel needs of each department.

Primary Responsibilities:



  • Receive and review approved order requisitions and create purchase orders to submit to appropriate vendors
  • Maintain and file necessary documentation for each purchase, ensuring each record is accurate and complete in the electronic accounting software
  • Coordinate all travel accommodations including conference or training registrations, flights, hotels, rental cars, and other reservations for all employees traveling on behalf of the organization
  • Develop and maintain positive business relationships with vendors, staff, and members of the community
  • Reconcile credit card statement each month
  • Monitor vendor quality through objective performance measurements and remedying concerns as directed
  • Deliver bank deposit, collect and distribute mail, and track payments to vendors on consistent schedule
  • Follow all agency policies and procedures related to purchasing or travel and maintain current knowledge of any changes in regulations or funding sources that would impact these duties


Qualifications

Physical Requirements:

This position normally requires the physical demands of standing, walking, bending, lifting, or performing other work requiring low physical exertion, talking, and hearing on a regular basis to perform the job requirements. These physical demands are required up to 90% of the time.

Non-Physical Requirements:

Education



  • High school diploma required.Associate degree from an accredited university preferred


Experience



  • 1 - 3 years' experience with travel arrangements and/or purchasing in a professional setting
  • Knowledge and experience with computerized database system
  • Experience working with government contractspreferred


Special Skills



  • Excellent written and verbal communication skills
  • Experienced in Microsoft Office Suite
  • Bilingual (English/Spanish) preferred, but not required


Licensure, Registration, Certification



  • Valid Washington State Driver's License and required minimum liability insurance for WA State
  • Must be deemed insurable as determined by Catholic Charities liability insurance provider


Employment is conditional upon:



  • Being cleared by criminal background check and fingerprinting when required


Wage:$24 - $27.50 per hour, depending on experience

Schedule:Monday - Friday, 8 am to 5 pm
