Immediate Needs Coordinator

Job Specific

  • The LINC position is responsible for coordination and servicing of Meeting and Event business
  • Liaise daily with Meetings and Events team and meeting guests to handle specific requests and ensure guest satisfaction.
  • Communicates changes in Meetings and Events programs to appropriate hotel operating departments. More specifically: Continually check in with Meeting Planners to assess needs/requirements.
  • Maintains communications with clients and appropriate hotel departments via LINC Chat and radio
  • Keep in contact with the appropriate Meetings and Events Manager regarding any changes/updates pertaining to their group
  • Provide outstanding services to clients in accordance with Loews Hotels Star Service standards to ensure total guest satisfaction
  • Meet with Meetings and Events Manager prior to arrival of each group to fully understand the needs and flow of every group
  • Meet daily with Meetings and Events Manager to ensure full understanding of the needs and flow of each group in-house
  • Attend BEO and Resume Meetings
  • Attend and set up Pre Conference Meetings. Included all printed documents needed.
  • Assist with printing needs of Meetings and Events Manager as it pertains to each group. Including but not limited to vouchers, signage, menus, client documents, amenity cards.
  • Maintain the accuracy of the BEO Book (guarantees, replacing revised/original BEO's, F&B BEO's placed in correct section, etc.)
  • Produce the Outdoor Event Report on a weekly basis
  • Weekly maintenance (Engineering) walkthroughs
  • Reports to Engineering any items needing to be fixed/corrected
  • Walk all room set-ups in advance, ensure they are correct
  • Ensure all events are posted correctly on the Reader Board
  • Review Resume and BEO's in great detail to determine needs and assist with facilitating them with the Meetings or Events Manager's assistance
  • Regularly check on preparations and activities for all assigned group events
  • Meet periodically with clients throughout the day for the duration of their stay to answer questions, coordinate necessary changes, anticipate needs, and troubleshoot problems
  • Coordinate package delivery and vendor packages for meeting clients, coordinating with the Business Center and Receiving Departments. Includes tracking and delivery to meeting rooms.
  • Daily Events Report (sent the day before, would use morning of to double check the reader boards are posting correctly)
  • Set up all clients in Kipsu/Linc chat
  • Process Amenity forms include note cards, collect custom amenity items and distribute to F&B dept for delivery
  • Notifies appropriate individual promptly and fully of all problems and/or unusual matters of significance
  • Assist Meetings and Events coordinator as needed and in their absence.

  • Exceptional knowledge and understanding of various banquet and food service techniques and standards

  • Ability to speak, read and write the English language
  • Ability to stand, stoop, bend repetitively during entire shift
  • Ability to work flexible schedule to include weekends and holidays
