Position Summary

As Manager of HRIS & Operations, this position focuses on maintaining and optimizing our HR systems while upholding data integrity, ensuring regulatory compliance, streamlining processes, and fostering a people-focused environment. By working closely with internal teams (HR, Payroll, Finance, IT) and external partners, the HRIS Operations leader will help drive strategic initiatives that support our 24/7 workforce.

This role is an integral part of our HR team, driving innovation, efficiency, and data analysis through the effective utilization of Workday. Deriva is implementing the suite of Workday modules, and as its owner, this role will oversee the configuration, ongoing operations, and optimizing our Workday processes, enhancing system functionalities, and driving Deriva Energy's ability to unlock the power of the Workday platform. You will work with a team of HR professionals, collaborate with cross-functional teams, and ensure the successful delivery of HR initiatives.

Serving as the subject matter expert for the platform, this role will focus on ongoing improvements of Workday, in support of HR initiatives and business growth while delivering an engaging employee and manager experience. This role will partner with HR and business leaders to understand needs, define requirements, business process configuration, reporting (maintain monthly reports/dashboards established by HR department), mass data processing (EIB), and other troubleshooting support and support systemic solutions within Workday.

Responsibilities

  • Administer & Optimize HR Systems:Serve as the primary administrator for HR systems, including configuring modules, managing routine maintenance, processing changes to Team Member records, testing new features, and rolling out updates to meet evolving needs. Proactively learn and understand system capabilities and new features to ensure systems are optimized and aligned with business goals. Helps design system specifications and works with internal/ external technical resources to ensure that the Workday system is accessible, operational and fully functional.

  • Implementation and Configuration: Lead the implementation and configuration of Workday modules, including Core HR, Benefits, Talent Management, Compensation, Recruiting and Workforce Management to meet business requirements. Support Benefits, Time Management, and Payroll teams in the creation and optimization of processes. Updates and maintains configurations; to include integrations, security, system-wide defaults, department and location data, compensation administration data, performance management data.

  • HR Operations: Provides leadership and direction to the HR team regarding HR customer service tools and processes (Service Now owner for HR). Oversees the daily workflow of the team; ensures tickets are assigned and handled appropriately.

  • Project Management: Manage end-to-end HCM & Payroll projects, including planning, execution, monitoring, and control of project activities, ensuring adherence to timelines, budget, and quality standards. Create and maintain clear, comprehensive, documented business requirements for requested changes, enhancements, or projects; accountable for articulating functional processes from beginning to end and providing thought leadership on functionality and design.

  • Compliance & Data Security:Stay current with applicable employment and data privacy regulations; configure systems to maintain legal compliance, implement role-based permissions, and proactively monitor for unauthorized access or suspicious activity. Provides expertise in accessing, changing, maintaining and assuring the quality of data and HR data. Owner of HR compliance with EEO, SOX and other HR related requirements, for Workday and beyond.

  • System Optimization: Continuously evaluate and enhance HCM system functionality, performance, and user experience to improve operational efficiency and effectiveness. Maintain awareness of Workday future releases / roadmap and the potential impact of those plans on current and future Workday functionality.

  • Optimize Workflows & Collaborate Across Teams:Partner with HR, Payroll, Finance, IT, and other departments to streamline workflows across the Team Member lifecycle (onboarding, offboarding, performance, compensation), leveraging system capabilities for efficiency and consistency. Collaborate with key stakeholders (subject matter experts, Team Members, Managers) to identify opportunities for improvement, implement system changes, and ensure processes meet organizational needs.

  • Business Process Analysis: Analyze HCM & payroll processes, identify areas for improvement, recommend and implement process enhancements and best practices leveraging Workday.

  • Stakeholder Collaboration: Partner with HR leaders to understand pain points, prioritize requirements and identify opportunities to improve processes and gain efficiency by leveraging Workday functionality. Collaborate with cross-functional teams, including HCM & payroll, finance, IT, and business users, to understand their requirements, address issues, and provide technical expertise and guidance related to HCM systems.

  • Training and Support: Develop and deliver training programs and support materials to educate end-users on HCM system functionality, features, and best practices. Conduct Workday training and ensure company understands functionality of the system. Cross-training with the HR team on system administration, security, user access and other areas as determined.

  • Data Management: Oversee data integrity and ensure accurate and timely data entry, maintenance, and reporting within HCM system, including employee information, benefits, performance, and payroll.

  • Reports & Analytics:Produce regular and ad-hoc reports (headcount, turnover, compliance metrics) and explore advanced analytics or dashboards that inform strategic decision-making. Identify trends related to turnover, performance, and succession planning that contribute to proactive talent management. Advanced report writing and HR analytics support including dashboards.

  • System Maintenance and Upgrades: Manage system maintenance activities, including applying patches, upgrades, and ensuring data integrity. Partner with IT teams for system integration and troubleshooting.

  • Vendor Management: Work closely with external vendors, consultants, and service providers to manage relationships, monitor deliverables, and ensure high-quality services related to Workday.

  • Compliance and Risk Management: Ensure compliance with HCM & payroll policies, and procedures, and implement appropriate controls to mitigate risks associated with HCM & payroll activities.

Working Conditions

  • Based in Deriva Energy corporate office in Uptown Charlotte, NC, this role must be available to work primarily Monday through Friday. (Office/Hybrid)

Required Qualifications

  • Bachelor's degree

  • In addition to the degree above, five (5) years of full-time experience in Workday administration, including hands-on experience testing, configuring, security design, and processing changes to Team Member records (status, position, demographics, compensation, etc.).

  • In lieu of bachelor's degree, high school diploma/GED AND 10 years or more years of related work experience

Preferred Qualifications

  • Significant experience with Workday functional configuration across three or more HCM modules such as Core HCM, Talent, Performance, Absence and Time-Tracking, Recruiting, Payroll, Benefits, for a mid-to-large-sized business.

  • Compliance experience with SOX and HR compliance requirements (PII, GDPR, SOX).

  • Workday Pro certified

  • Advanced skills in data analysis and report writing.

  • Hands-on experience and technical know-how in both Workday time management and payroll.

  • Experience in HRIS project management including analysis, stakeholder engagement, and documentation.

  • Proven Workday functional expertise in assigned areas of support - i.e. an awareness of what Workday can and cannot do, familiarity with delivered functionality and reports, and experience performing straightforward administrative tasks in Workday (Undoing tasks, manually advancing tasks, waiving requirements).

  • Proven experience handling confidential and sensitive information.

  • Ability to exercise discretion and show good judgment; honesty, integrity, and trust-building.

  • Proven track record of maintaining high data integrity, accuracy, and ensuring compliance with applicable regulations. Experience with audit processes, recordkeeping, and compliance.

  • Ability to communicate effectively with business leaders, HR professionals, managers, and employees, regarding Workday functionality and change management.

  • High degree of customer-centric mindset and personal accountability, with a track record for delivering results, team collaboration and strong analytical acumen.

  • Exceptional written and verbal communication, capable of conveying technical concepts clearly and providing user-friendly documentation or training.

  • Ability to work on and time-manage multiple assigned projects in parallel while meeting target deadlines.

  • Functional experience with broad HR practices and program development that allows you to understand the needs of stakeholders across the HR functions preferred.
