DESCRIPTION

Enrollment Management (EM) is a multi-unit department within the Office of the Executive Vice Chancellor-Academic Affairs. The department is led by the Associate Vice Chancellor for Enrollment Management (AVC EM), who serves as the Chief Enrollment Officer and Chief Outreach Officer of the University. EM comprises multiple high-profile, core functional units including: the Office of Undergraduate Admissions, Office of the Registrar, Financial Aid & Scholarships Office, Cal-SOAP, Creative Services, Enrollment Analytics, and the Business Office. We work to advance the academic and public service missions of UC San Diego by ensuring equitable access to education and empowering students throughout their educational journeys.

The Triton Center Admissions Representative (TCAR) works in a fast-paced, deadline-driven, high-demand office, which receives in excess of 150,000 undergraduate applications annually and is engaged in a highly selective admissions process each year. The Triton Center functions as the campus "official information center", the focal point for prospective students (first-year and transfer), their families, visitors or others seeking information about the University.

Under the supervision of the Assistant Director of Admissions, Triton Center Manager, the TCAR provides information on a variety of admissions-related topics to the general public including, but not limited to: prospective applicants, parents, counselors, community-based organizations, faculty and campus colleagues. In addition, the TCAR conducts information sessions for campus visitors, including educational group tours, on a daily basis.

The TCAR's evaluation duties involve assessing academic transcripts from domestic and foreign institutions, assisting with course-by-course evaluations, and validating student records for admission purposes, consulting with more experienced level staff when needed. The TCAR will assist with coordinating and support of special programs and events. The AR also participates in admissions committees, special projects, and training initiatives, contributing to the overall admissions operations and student recruitment goals at UC San Diego.

As a representative of UC San Diego and the University of California, the TCAR is expected to perform with a high level of professionalism, oftentimes conveying complicated and/or sensitive information. The position requires professionalism, skills in presenting information, attention to detail, the ability to collaborate - working in teams, and flexibility.

  • This position is in-person, on-site M-F. Occasional weekend work may be required.
QUALIFICATIONS
  • Knowledge and experience working with a diverse student population.

  • Working knowledge of UC, and the ability to interpret policies and procedures to prospective applicants and the public.

  • Ability to maintain cooperative relationships with schools, universities, community organizations and other institutions.

  • Working knowledge of admissions requirements for campus / school / college.

  • Ability to communicate effectively orally and in writing.

  • Demonstrated experience and skill to routinely monitor production and quality of work being produced by student staff and set performance standards, observing behavior, providing objective feedback, counseling, and effective leadership/coaching/mentoring. Demonstrated experience and skill to assess student staff capabilities and workloads and redistribute when necessary. Demonstrated experience and skill to teach/train student staff in all aspects of job duties/responsibilities.

  • Ability to travel to various sites for student outreach purposes.

  • Ability to maintain confidentiality, discretion and exercise good judgment in handling sensitive and confidential matters.

  • Ability to conduct professional presentations before small and large groups.

  • Ability to prioritize, organize, assess, and coordinate programs and activities with other staff, departments and organizations to meet multiple deadlines and goals.

  • Familiarity in the use of a personal computer including the use of the Microsoft Office Suite (Work, Excel, PowerPoint). Knowledge of email systems as a primary form of communication; accomplished skill at navigating the internet for information retrieval.

SPECIAL CONDITIONS
  • Duties may require direct contact with children (defined as individuals under the age of 18). Completion of the Child Abuse and Neglect Reporting Act (CANRA) form is required.

  • Job offer is contingent upon a satisfactory clearance based on background check results.

  • Must be able and willing to work evenings/weekends during peak periods as required.

  • Occasional overtime and weekends may be required.

  • Must have access to reliable transportation for domestic travel as needed.

  • Must be able to withstand the demands of heavy public contact.

Pay Transparency Act

Annual Full Pay Range: $58,600 - $100,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $28.07 - $48.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
