Job Title: Administrative Assistant

Location: Chesapeake, VA 23322

Pay Rate: $20.00/hr. without benefits

Duration: 6 months (Contract)

Work hours: 08:00am - 04:00pm OR 09:00am - 05:00pm (Monday - Friday)

Job Description:

  • We are seeking a detail-oriented and highly organized temporary employee to provide administrative assistance for the City of Chesapeake's current training needs during the implementation of the City's Learning Management System (LMS).
  • This individual will play a critical role in ensuring a seamless transition to the new LMS while maintaining the efficiency of ongoing training programs.
  • The position requires excellent technical, organizational, and communication skills, as well as the ability to manage multiple tasks effectively.


Role & Responsibilities:

  • Manage class enrollments, confirmations, and attendance records.
  • Set up training sessions, including coordinating materials, venues, and logistics.
  • Maintain the organization's Training Hub, ensuring accurate and up-to-date information.
  • Update and monitor training calendars, schedules, and deadlines.
  • Provide general administrative support to the Learning & Development team as needed. Assist with the setup and configuration of the LMS platform.
  • Collaborate with the Learning & Development team to ensure accurate and timely content migration.


Required Qualifications:

  • Prior experience with Learning Management Systems or similar platforms preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and comfort with technology and software tools.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Attention to detail and accuracy in managing records and processes.
  • Excellent verbal and written communication skills for professional interactions with team members and stakeholders.
  • Basic troubleshooting skills to address technical or system-related issues.
  • Adaptability and flexibility to manage shifting priorities and deadlines.
  • Self-motivated and proactive in identifying and solving problems.


Preferred Qualifications:

  • Experience in training coordination, administrative support, or a related field.
  • Familiarity with project management principles and tools is a plus.
  • Prior experience working on LMS implementations or system rollouts.


Employment Type:

  • This is a temporary position expected to last for approximately 6-9 months, with the potential for a brief extension based on organizational needs.


Work Environment:

  • The role is based in-office.
  • Ability to attend in-person meetings or training sessions is required.
