JOB TITLE:

Project Coordinator, Senior

JOB PURPOSE:

Coordinate and manage the operational, financial, and personnel functions of a large and/or complex specialized program for a designated department under very limited supervision; advise and counsel students; facilitate and pursue opportunities which will enhance the general welfare of University students within the program. Under limited supervision, provide communication support in one of the following areas: External Communications (alumni, employers), Internal Communications (current students- Assist in the planning, implementation, and evaluation of career and/or academic advising functions for University of Wyoming students. Helping to increase retention and graduation, this job interviews and advises students regarding information, procedures and academic requirements.), and Prospective Students and their families. Represent and give information pertaining to the School of Energy Resources to prospective students, their parents, and transfer students within Wyoming and across the country; develop and implement student recruitment strategies, as directed; assist with planning, coordinating, and supervising specific College admissions programs or projects. This individual will oversee SER's publications all media/print ads to recruit into our academic program, etc. This position will work closely with other entities on campus, including enrollment management.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Coordinate and manage the administrative, financial, and personnel activities of designated large and/or complex program(s).
  • Develop, coordinate and administer student enrichment/academic programs for all university students.
  • Provide leadership and advisement for student leadership organizations; coordinate leadership-training opportunities with Directors and Assistant Deans.
  • Implement program goals and objectives and revise as necessary; develop and enact a comprehensive plan for delivery and assessment of program objectives and goals.
  • Coordinate program with other university departments to assure smooth delivery of services.
  • Provide guidance and assistance to faculty, staff and students.
  • Oversee program efforts and reduce duplication of efforts.
  • Hire, train and supervise support staff.

External Communications:
  • Assist in strategic planning and conducting comprehensive SER campaigns based on institutional priorities and University messages to promote scientific, technical and cultural activities to the University community, and the general public.
  • Coordinate prospective student/family visits.
  • Coordinate travel to schools/colleges for prospective student visits, both in Wyoming and outside the state.
  • Respond to academic/career inquiries about external communications planning and scheduling. Review SER's external priorities twice a year with the Academic Director and establish schedule of deliverables and deadlines.
  • Develop strategies for recruiting new SER students through local, regional and national media. Such as developing content for multi-media, magazine, web and other formats as needed such as fact sheets.
  • Responsible for understanding and using software programs needed in Institutional Communications for information storage and distribution.
  • Coordinate with Outreach Director and Academic Director to accomplish editing and dissemination of information such as Honor Rolls, Dean's lists, President's lists and Graduation lists.
  • Plan and organize annual trips to various Wyoming communities and targeted territories for new SER students each fall and spring.
  • Manage budget for recruiting needs.
  • Work on special projects, as assigned.

Internal Communications:
  • Execute SER's internal communications with current students to share administrative and academic news regularly.
  • When needed, attend meetings with administrators, faculty and staff to develop a schedule of information for internal communication including achievements by faculty and staff members, major policy initiatives and news of interest to University employees.
  • Maintain the academic planning calendar and use news judgment to promote events of interest to the University community.
  • Update appropriate academic websites with internal news.
  • Responsible for understanding and using software programs needed in Institutional Communications for information storage and distribution, and monitors software to ensure it is current and working properly.
  • Assist in planning and implementation of recruitment, admission and retention strategies.
  • Work collaboratively with other campus departments, staff and faculty in administering admissions and recruiting programs or projects.
  • Assist and/or lead in preparation of a variety of recruiting/admission publications and Academic's social media.
  • Assist students with admissions and registration; guide in course selection in keeping with the student's interests, values and abilities.
  • Serve as Floor Sponsor to our Living Learning Community.
  • Maintain SOAR badging for current students/SER.
  • Provide academic, personal, and/or career advising to students.
  • Will provide special programs to student groups, classes, parents and others through workshops, orientations, and other formats. Write, edit or select informational materials for assigned program.
  • May assist with the assignment of advisors; change of majors, etc.
  • May advise undecided, probationary, conditionally admitted, suspended, or reinstated students to help identify and overcome their academic difficulties; conduct follow-up sessions.
  • Responsible for review and approval of student forms, as directed; evaluate transcripts and perform degree checks, as directed.
  • Provide instruction to students in the use of online resources for academic and career information; explain University of Wyoming programs of study and resources.
  • Provide solutions to complex problems; deal with difficult situations and people.
  • Interpret and explain University policies and procedures related to academic and/or career processes.
  • Serve as liaison, establish and develop effective relationships with students, faculty, department heads, deans, and others, both on- and off-campus; integrate faculty advising into overall program concept.
  • Serve as liaison with the foundation and the corporate partner's project.
  • Prepare students for later educational experiences by encouraging them to explore learning opportunities and to persevere with challenging tasks.
  • Advise students and provide guidance services with educational and career decisions and problems. Work on special projects, as assigned.

SUPPLEMENTAL FUNCTIONS:
  • Participate in planning, maintenance and achievement of departmental goals.
  • Serve on committees as appropriate.
  • Perform training as needed.
  • Provide data collection, program statistics, prepare reports and maintain program files.
  • Respond to general correspondence, as directed, and assist with the communication plan for the college as needed (may include call campaigns, emails, newsletters, mailings, etc.).
  • May attend professional development workshops relating to admission/recruitment/retention/marketing and communication.
  • Assist with career services and attend career fairs as needed.
  • Assist with managing mentorship program and other retention-related programming (in conjunction with administrative assistant role)
  • Serve on board committees that benefit SER staff/faculty/students
  • Stay current with industry changes in media relations.
  • Perform other duties, as assigned.

This position is eligible for remote work and/or a flexible work schedule.

MINIMUM QUALIFICATIONS:

Education: Bachelor's degree

Experience: 3 years work-related experience

DESIRED QUALIFICATIONS:

Education: Master's Degree

Experience: 5 years of work-related experience
