Responsibilities

Responsibilities:

We are seeking an Office Coordinator who will work closely with the Office Manager to support all activities related to the office operations. The coordinator will be the first point of contact for internal and external service vendors and internal clients.

Office Functions including:

  • Provide general support to different departments within the firm.
  • Maintain off-site storage units. This effort to be coordinated with upper management.
  • Pick up supplies from Sam's/Walmart, etc. in the company provided van.
  • Make deliveries and supply pickups when required.
  • Coordinate with external service vendors as needed, i.e., coffee service company, plumbers, electricians, pest control, ice machine and water machine technicians.
  • Monthly elevator safety inspection and yearly audit coordination.
  • Fire Extinguisher maintenance/coordination with outside vendors.
  • Ensure office supplies and kitchen supplies always remain stocked.
  • Maintain and tidy up the kitchens daily and ensure each evening that the dishwashers on 2nd/3rd floors get started. (needs managing throughout the day).
  • Ensure all conference rooms are always presentable. All chairs pushed in and white boards clean.
  • Assist with the delivery of all USPS mail, Fed-ex, UPS and courier packages to employees.
  • Assist with employee desk moves and furniture relocations.
  • Provide Lunch and Learn support including extra table set up and assisting with food clean-up.
  • Provide administrative support for the office, as needed.
  • Front desk phone support for lunch and breaks and to fill-in when the receptionist is out on PTO.
  • General maintenance in space includes refilling soap and hand sanitizer stations, replenishing Kleenex in restrooms, replacing paper towels in kitchen areas, staging recycles bins on Fridays for Monday's exchange, maintaining order in office storerooms, stocking drinks and general kitchen items for office on all floors.
  • Assisting with company events including setup and cleanup.
  • Sending out informational emails to the office regarding items being out of order, doors chained for holiday weekends, road closures, etc.
  • Refills printers, copiers, etc. as supplies run low
  • Interfaces with building management to ensure a safe and secure work environment, including maintenance, work orders, security, and other issues within our space
  • Coordinates Emergency preparedness activities including contact lists and procedures.
  • Keeps the office clean, free of clutter, organized, and presentable, specifically the buildings' entries and front desk.

Qualifications

Qualifications:

  • Demonstrated ability to work and communicate professionally, verbally, and in written form with internal and external customers.
  • Must have strong interpersonal skills and ability to work in a team environment.
  • Responsibility for follow-up on actions based on various projects.
  • Self-motivated individual that works well without constant supervision.
  • High organization skills in managing multiple projects simultaneously.
  • Ability to perform and manage projects using independent judgment and personal initiative.
  • Build strong internal and external relationships using effective verbal and written communication skills.
  • Recognize and act on opportunities; adjust direction when situation warrants.
  • Must be a provider of excellent customer service.
  • Ability to establish and maintain professional working relationships with staff and clients.
  • Maintain a clean driving record.
  • Punctual attendance to ensure that time-sensitive matters are completed by the required deadlines.

Working Conditions / Physical Requirements

  • Continuous walking throughout the office.
  • Required to lift 35+ lbs.
