Responsibilities:

  • Participate in weekly, monthly, quarterly, and annual meetings for JLL & Client, both in-person and via MS Teams
  • Prepare Internal Approval Packets (IAP) for executive review
  • Deliver clear and concise project updates to internal teams and external stakeholders
  • Maintain regular communication with landlords regarding lease amendments and required documentation
  • Manage and update critical dates in integrated work management system
  • Distribute timely calendar reminders for critical dates to team members
  • Conduct thorough research on real estate contracts and agreements
  • Utilize DocuSign for efficient processing of Abstract and Wire Transfer Approvals
  • Maintain detailed Real Estate notes in SmartSheet for effective project tracking
  • Perform comprehensive research on land ownership and potential site information
  • Coordinate and schedule meetings for client deal makers
  • Execute timely follow-ups with landlords, landowners, legal counsel, engineers, and other relevant parties
  • Process wire transfers and check requests for real estate related expenses
  • Draft and coordinate Right of Entry (ROE) requests in collaboration with Legal department
  • Record and update terms of additional land deals in integrated work management system
  • Develop and assemble comprehensive regional Tour Packets
  • Facilitate and track billing code requests
  • Secure and process bond releases

Qualifications:

  • Bachelor's degree
  • Experience in coordinating and tracking commercial real estate deals
  • Manages priorities methodically
  • Addresses unexpected / urgent requests
  • Maintains a balanced workload
  • Resourceful at identifying and resolving issues
  • Skilled at providing clear and concise written and oral communications
  • Attention to detail
  • Strong knowledge of MS Office, integrated workspace management systems and various project management software
