Job Summary and Responsibilities

Acentra Health is looking for a Proposal Coordinator to join our growing team.

**Position is remote**

Job Summary:

The Proposal Coordinator will assist in the planning and development of bids, proposals, and/or proposal response documents, and may manage individual bids with Proposal Manager oversight. The individual will coordinate and schedule proposal team meetings, create and manage response templates, manage required forms, and format and produce final proposals.

Responsibilities:

  • Provide support for all proposal artifacts and documents as directed by the Proposal Manager including templates, storyboards, resumes, writer's worksheets, outlines, assignment lists, etc.
  • Using existing templates, create and manage proposal documents including Word documents, Excel spreadsheets, and PowerPoint presentations.
  • Create and manage table of contents, list of figures, list of tables and other administrative aspects of the proposal.
  • Support Proposal Director & Manager in the maintenance and administration of content library.
  • Assist the Proposal Manager with setting up, organizing and facilitating necessary proposal team meetings and calls.
  • Take meeting notes including key topics, attendees and action items. Distribute notes to team following each call or meeting.
  • Determine proposal production requirements, create and manage production checklists, and lead the final production of proposal deliverables.
  • Coordinate with Graphics Designer to manage proposal graphics, facilitate meetings between Graphics Designer and subject matter expert, and perform quality control of graphics.
  • Provide quality review of proposal artifacts including formatting look and feel, general editing for grammar and spelling, figure and table numbering, etc.
  • Support Proposal Manager in other assigned tasks.
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.

Qualifications

Required Qualifications

  • Bachelor's degree (Communications, English, Marketing, Business Management, or related) OR a minimum of 5 years relatable experience.
  • A minimum of 3 years experience of proposal coordination experience in Federal Government or State environment.
  • Advanced proficiency in standard software applications (e.g., Microsoft Word, Excel, PowerPoint, Project, Visio, SharePoint, Adobe Acrobat, etc.).
  • Proven track record of attention to detail and focus on quality.

Preferred Qualifications/Experience:

  • Experience in health IT or Medicaid market.
  • Any training or certifications in proposal management.
