City Experiences is seeking a Administrative Assistant for our corporate operations.

About You:

This person will be adaptable, dynamic, and embody City Experiences' RESPECT Service System.

Essential Duties & Responsibilities:



  • Assist with all aspects of administrative work for certain Orlando office leadership.
  • Route correspondence; draft letters and documents; collect and analyze information; initiate telecommunications as requested; provide general support to operations.
  • Manage calendars and schedule meetings and travel arrangements to include flight, hotel, and car reservations.
  • Submit extensive expense reports in a timely manner utilizing the internal SAP Concur reporting system.
  • Welcome guests and visitors by greeting them, in person or on the telephone, answering or directing inquiries.
  • Maintain and protect operations by keeping information confidential.
  • Provide historical reference by developing and utilizing filing and retrieval systems.
  • Record meeting discussions, keep all notes and conversations from meetings confidential in all aspects.
  • Utilize Microsoft Office 365 to maintain organization of their own work and the schedule and administration of the Executives.
  • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Assist in the coordination of office staff activities and allocate resources to ensure maximal efficiency and to enable task execution.
  • Monitor and establish procedures for office record keeping and ensure the confidentiality and security of data.
  • Perform other duties as assigned


Requirements & Qualifications:



  • Demonstrate skill and proficiency in Microsoft Office, with a high mastery of PowerPoint, Excel, Word, Outlook, SharePoint and Teams.


  • Full proficiency in SAP Concur processes and submittals
  • Exceptional skill in oral and written communications, including effective executive-level presentation skills; proofreading and editing.
  • Demonstrate energy, drive, determination, and persistence to achieve goals
  • Ability to carry out multiple assignments concurrently
  • Ability to interact effectively at all levels and across diverse cultures
  • Ability to adapt to changes in the external environment and organization
  • Excellent planning, organizing and leadership /supervisory skills
  • Strong customer service and results orientation
  • Must be willing to accept changes of direction in work and priorities with a positive attitude
  • Must be a proactive thinker and constantly think ahead to better serve our customers, both internal and external


Experience:



  • 3-5 years of experience in executive office administration, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.
  • Previous experience in administrative or coordinator role in a hospitality or cruise environment preferred.
  • Bachelor's Degree - an equivalent combination of education and experience may be substituted.
