We're actively seeking a talented Senior Operations Documentation Specialist to join our Growth, Solutions and Development Team in Omaha, NE; Newport Beach, CA.

  • This role is hybrid, not fully remote. We believe in empowering our employees to get work done both in and out of the office.

As a Senior Operations Documentation Specialist, you'll move Pacific Life, and your career, forward by pioneering a new role within the department, utilizing innovative capabilities, strong attention to detail, excellent communication and presentation skills with the ability to inspire change and drive results. This role requires a high level of engagement and collaboration across the business system strengthening an enhanced employee, participant and customer experiences. You will fill a new role that sits on a team of 26 people in the Institutional division. Your colleagues will include operation and strategic execution and implementation professionals.

You will be responsible for independently creating and maintaining existing procedural documentation content and SLAs across all Operations business teams and lines of business and supporting newer team associates. Additionally, the Specialist will further support the department through maintenance of the documentation platform, key control and records retention oversight, and new hire onboarding and team workflow coordination.

How you'll help us move forward:

  • Independently creates new and updates existing procedural, letter and email template resources, as assigned, for any Operations team and line of business.

  • Conducts necessary research with Operations subject matter experts to develop content and define procedural steps; Analyzes how changes will affect current materials across all teams and all relevant updates are made.

  • Completed resources are informationally complete and accurate, validated by appropriate parties prior to rollout and publishing, and meet key deadlines in advance of change impacts.

  • Ensures Key Control documents and Risk Control Self Assessments (RCSA) support documents are appropriately labeled, maintained, and reviewed per company guidelines.

  • Ensures documentation is archived appropriately, meeting records retention guidelines.

  • Leads recurring audits of resources and platforms used across IRSG Operations, identifying, and sharing areas of opportunity for further focus.

  • Coordinates workflow across team to ensure established service levels and deadlines are met for internal customers; Addresses backlogs immediately to prevent impacts.

  • Effectively onboards and trains new team members, successfully integrating them into team and aligning them to standards. Provides feedback to leader around developmental areas of opportunity.

The experience you bring:

  • 3+ years Operations experience and Broad knowledge of IRSG Operations organization, products, systems, and processes preferred.

  • 3+ years experience successfully supporting internal documentation review.

  • 4-year degree or equivalent experience

  • Excellent verbal and written communication skills, with an ability to lead effective discussions with internal customers, drive positive outcomes, provide feedback and collaboratively work through ambiguous situations.

  • Ability to organize resources, information and data into useable formats that meet the needs of end users.

  • Adept at managing time to oversee multiple processes and meet multiple deadlines. Able to work in a fast-paced environment with consistently changing priorities, remaining highly organized with an emphasis on accuracy and timeliness.

  • Proficient in knowledge and documentation management practices, tools and retention policies.

  • Strong, demonstrated PC skills, using a multitude of formats include MS Word/Excel/PowerPoint, and ability to navigate through HTML tools in support of internal resource sites.

  • Adept at managing time to oversee multiple processes and meet multiple deadlines. Able to work in a fast-paced environment with consistently changing priorities, remaining highly organized with an emphasis on accuracy and timeliness.

Base Pay Range:

The base pay range noted represents the company's good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent upon several factors, including but not limited to experience, qualifications and geographic location. Also, most employees are eligible for additional incentive pay.

$91,350.00 - $111,650.00
