Position Summary:

The Business Development Assistant will play a key role in supporting the Business Development team by providing day-to-day administrative assistance and helping to manage internal operations of the team. This position will report directly to the VP Corporate Business Development and will work closely with other team members to ensure smooth and efficient functioning of business processes and assist with the evaluation of projects. The ideal candidate is someone who is willing to support the Sr Geoscience Advisor, run analyses, create presentation information, develop maps of upstream and midstream assets and databases, and perform other tasks to support the successful evaluation of transactions while providing administrative support to the team. This role should provide the selected candidate with development opportunities while working with the both the technical and financial deal teams. This candidate is detail-oriented, highly organized, and proactive, with excellent communication and multi-tasking skills. They will have the opportunity to contribute to the growth and success of the organization by providing vital support in areas such as scheduling, documentation, communication, and coordination of Business Development activities. Key Responsibilities:

  • Provide administrative support to the Business Development team, including managing calendars, scheduling meetings, and coordinating appointments.
  • Assist in the preparation of proposals, presentations, and reports for client meetings and internal reviews.
  • Organize and maintain the department's files, databases, and documentation, ensuring information is up to date and easily accessible.
  • Assisting the deal teams on transactions by:
    • Assisting with data entry, updating, and maintaining databases, ensuring data accuracy and integrity.
    • Collaborating on Microsoft Teams, facilitating communication, file sharing, and task management.
    • Conducting research and compiling information for Business Development strategies, proposals, and presentations.
    • Creating and managing reports, dashboards, and data visualizations using Excel, PowerPoint, and other business intelligence tools.
    • Performing data analysis and reporting using Excel and SQL, including advanced formulas, pivot tables, and database queries.
    • Utilizing Geoscience, Financial, and Land systems to support Business Development projects.
  • Serve as a liaison between Business Development staff, internal teams, and external clients by handling communications and following up on pending issues.
  • Coordinate travel arrangements, itineraries, and accommodations for the Business Development team.
  • Assist with organizing and managing special projects, activities, and events, ensuring smooth execution.
  • Track and monitor the status of Business Development initiatives, following up on deliverables and deadlines to ensure timely completion.
  • Prepare expense reports and process invoices related to Business Development activities.
  • Support the organization of team meetings.
  • Maintain the strictest level of confidentiality and professionalism when handling sensitive information.
  • Other duties or projects, as required.

Required Qualifications:

  • High school diploma or equivalent.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with other business software such as project management tools.
  • Experience with database management and SQL for querying and data retrieval.
  • Prior experience in an administrative support role, preferably within a business/corporate development or project management environment.
  • Strong organizational and multi-tasking skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills, with attention to detail and professionalism in interactions with clients and colleagues.
  • Ability to work independently and take initiative while maintaining a collaborative approach with team members.
  • Flexibility and adaptability in handling changing priorities and evolving responsibilities, including learning new business software.
  • Strong problem-solving skills and a proactive approach to handling issues and tasks.

Desired Qualifications:

  • Associate or Bachelor's degree in Business, Finance, Communications, Geoscience or related fields.
  • Willingness to grow and expand areas of knowledge to assist group efforts.
  • Experience in coordinating projects or events.
  • Knowledge of basic bookkeeping or financial management tasks (processing invoices, expense reports).
  • Strong research and data analysis skills.
  • Familiarity with Business Development processes & terminology or market research would be beneficial.
  • Familiarity with Quorum Land System/SAP experience a plus
  • Experience with Geographic Information Systems (GIS) software for mapping and spatial analysis is a plus.
  • Knowledge of data visualization tools like Spotfire, Tableau, Power BI, or similar is a plus.
