Duties and Responsibilities:

Contracts

  • Process & file contract administration paperwork.
  • Draft subcontracts, coordinate reviews and document resolutions.
  • Complete customer & vendor account setup, including project creation.
  • Distribute subcontract change orders or modifications.
  • Review order requests for Projects (Service Contracts) and Purchase Orders
  • Process order requests in NetSuite.
  • Run weekly report of open Purchase Orders.
  • Monitor insurance requirements, expirations, and renew in coordination with the Operations Manager as required.


HR

  • Implements & monitors policies for all company personnel.
  • Provides recommendations on policies and procedures for continual improvements within the HR Department.
  • Ensures HR and Benefits programs are following all applicable federal, state and local laws.
  • Maintains HR, Benefits and Travel records and reports, including protected and non-protected records.
  • Responds to employee relation issues such as employee complaints, harassment allegations and civil rights complaints.
  • Conducts annual employee satisfaction surveys.
  • Reviews employee training & evaluation program and provides recommendations as necessary.
  • Leads recruitment effort for all open positions, writing and placing postings, coordinating interviews, processing background and reference checks.
  • Updates job descriptions as necessary
  • Tracks new-hire development progress.
  • Assists in counseling as required.
  • Updates and distributes company directory.
  • Monitors Time Entries for discrepancies and reports every 2 weeks.
  • Monitors employee travel, Time Off and Sick Days. Updates calendar as appropriate. & Provides monthly reports to leadership (Semi-Annual - June/July & Oct/Nov)
  • Scheduling and Development of Job Training Program/Professional Development of staff
  • Coordination, Set up, and configuration of IT Assets for new joins.

  • Completes professional Self-development.


Qualifications

  • High School Diploma, Bachelor's Degree Preferred
  • Ability to communicate effectively and clearly.
  • Strong time management techniques
  • Ability to pass a background check.
  • A strong team-player with excellent verbal and written communication skills
  • Ability to lift over 25 lbs.


Metrics:

Training and Development: Monitor the participation rates in training programs and assess the impact on employee performance and skill development. Improvement in employee competencies demonstrates the HR specialist's effectiveness in facilitating learning opportunities. (BAS, Chillers, HVAC Journeyperson, Generators Tech)

Compliance and Legal Requirements: Track adherence to labor laws, regulations, and company policies. Fewer compliance issues and legal disputes indicate the HR specialist's proficiency in managing regulatory requirements and mitigating risks.

Develop and administer an Employee Satisfaction Survey that will be sent out quarterly. This survey should take an internal assessment of the general Climate of the company. (Quarterly)

HR and Contract Coordinator Process Efficiency: Analyze key HR processes like benefits administration, and performance Evaluations management for efficiency and accuracy (Quarterly review, Annual Evaluations). Streamlined processes and reduced errors indicate the HR specialist's ability to optimize operations. (Quarterly reviews, Annual - Nov of Each Year)
