We are seeking future team members for our Executive Assistant located in Lake Mary, FL, Hybrid positions. In this role, you will make an impact in the following ways:
- The qualified individuals will be responsible to service the day to day needs the client relationship, including answering general questions, reviewing paperwork, resolving time sensitive issues by working with appropriate internal departments and/or other parties and assisting with process improvements.
- Responsible for working productively and professionally with peers and/or other team members to help service clients.
- In addition to post, faxing, room booking, car booking and on-boarding/off-boarding of new starters/leavers, the candidate will need co-ordinate travel.
- Assist with reconciliations of Travel & Expenses onto online system and present for payment.
- The candidate may also be required to prepare and/or assist with creating presentations, charts/graphs, databases, spreadsheets, and materials for meetings.
- The candidate will be responsible for updating a variety of shared spreadsheets and databases therefore attention to detail is critical in this role.
- The individual also leads all efforts related to Representative Office management needs by working closely with the Representative, including preparation of regulatory reporting, internal accounting reporting, following up the cash and bank accounts, keeping the internal book entries and regular monthly expense reporting, meeting compliance related requirements, organizing purchases for the office, cleaning, premise related tasks, etc.
To be successful in this role, we're seeking the following:
- At least two years of administration experience required.
- The applicant should be detailed oriented and organized.
- Must have the ability to multi-task in a fast-paced environment.
- Strong commitment and dedication to client service, with customer service experience a plus.
- Must have exceptional oral and written communication and interpersonal skills.
- Must be extremely organized and detail-oriented with the ability to balance many tasks.
- Strong PC skills - Intermediate Excel (proficient knowledge of MS Word, Excel, and PowerPoint; knowledge of Lotus Notes preferred) Knowledge of general office procedures (e.g. filing, post, faxes, correspondence, arranging meetings) Excellent telephone manner Tact and good judgement in confidential situations and the ability to interact at all levels.
