The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Center for Student Success and Intervention (CSSI) uses a 360-degree lens to approach student support work, including student conduct, intervention case management, and student support initiatives. CSSI incorporates supportive measures for students with more significant needs, including students managing academic and behavioral issues, students of concern, and students with unmet basic needs. CSSI is responsible for connecting students to the support that they need to overcome challenging situations, and also oversees the University's student conduct investigation and adjudication processes. Student Support and Intervention, in accordance with the expectations of students at Columbia University, upholds the highest standards of respect, integrity, and civility.

Reporting to the Senior Associate Director of Operations, the Operations and Database Manager oversees the management and optimization of the Maxient student conduct database, ensuring the security and integrity of sensitive data. This position involves generating and analyzing reports to inform decision-making, providing technical support for office software, and ensuring compliance with the Family Educational Rights and Privacy Act (FERPA). Additionally, the manager will work with various campus departments to integrate Maxient with other university systems, import student life data, and enhance system functions to streamline workflows. The Operations and Database Manager will also support CSSI operations by administering the Dean's Discipline process and Student Support services within the center.

This position requires independent judgment in managing sensitive student data, optimizing system functions, and ensuring compliance with university policies and federal regulations.

Responsibilities




  • Database Management & Maintenance: Oversees and maintains the Maxient student conduct database, ensuring the accuracy, integrity, and security of student conduct data, including regular system updates and troubleshooting.



  • Report Generation & Data Analysis: Routinely generates and analyzes a variety of reports, including incident reports, case records, and other sensitive data. Use these insights to assess trends, measure outcomes, and provide data-driven recommendations to leadership.



  • Primary Technology Support: Acts as the main point of contact for all office software (Maxient, Zoom, Turnitin), providing technical support, troubleshooting, and guidance to staff for the smooth operation of these tools.



  • Compliance & Security: Ensures that all student conduct data and reports comply with privacy regulations such as FERPA, and implement best practices for data security, including access controls and confidentiality protocols



  • System Optimization: Works closely with the team to customize Maxient to better support office workflows, case tracking, and reporting needs. Continually assesses system performance and recommends improvements to enhance functionality and efficiency.



  • System Integration: Independently works with IT and other campus departments to ensure smooth integration between Maxient and other university systems (e.g., student information systems, academic records). Manages the tracking of student life data within the system, ensuring data is up-to-date and accessible.



  • Disciplinary Certifications Requests: Processes disciplinary certifications and handles FERPA requests as needed, ensuring compliance with privacy laws and institutional policies. Provide accurate and timely responses to certification and documentation requests related to student conduct.



  • Project Management: Manages timely progress and assists in the implementation of projects or initiatives overseen by this position or the Directors, including programs, staff training and development, systems implementation, and community events programming.



  • Additional duties as assigned.




Minimum Qualifications



  • Bachelor's degree and/or equivalent experience required. 3-5 years of related experience in data management, operations, or a related field, or an equivalent combination of education and experience.
  • A Master's degree is preferred.
  • Experience in administrative or operational roles within a university or other complex organization is required, with a strong focus on database management and reporting.
  • The incumbent must possess excellent verbal and written communication skills, with the ability to present complex data and information.
  • Experience in data analysis, reporting, and compliance, particularly within student conduct or higher education settings, is essential.
  • The incumbent should be skilled in program planning, project management, and prioritizing multiple tasks in a dynamic environment.
  • Strong attention to detail, resourcefulness, discretion, and flexibility are critical, along with the ability to navigate ambiguity and collaborate effectively across departments.
  • Proficiency in Microsoft Office, Google for Education, Adobe Creative Cloud, Maxient, and other publishing or database software is preferred.
