JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Ross and Carol Nese College of Nursing is seeking a dedicated and experienced Educational Program Coordinator to provide support to a newly created Nurse Anesthesia Program, which is shared with the College of Medicine at the Hershey Campus. This role is pivotal in ensuring the delivery of high-quality education and training to our nurse anesthesia students, preparing them to excel in their professional careers.

The Nurse Anesthesia Education Program Coordinator facilitates the administration of the Nurse Anesthesia Program by assisting the Director and Assistant Director of the Nurse Anesthesia Program with day-to-day operations.

You will assist with administering the program and its evaluation, meeting and event coordination, financial transactions, and travel arrangements. You will also provide key support with instructor recruitment, student and course management, and Council on Accreditation (COA) accreditation materials and submissions.

The Education Program Coordinator will work both independently and collaboratively, utilizing organizational and multitasking skills and the ability to prioritize, to complete this position's responsibilities, which include but are not limited to:

Program Support

  • Provide administrative support to the Program Director, Assistant Program Director, and the full-time and adjunct faculty.

  • Order office supplies and maintain general office area.

  • Oversee special projects as assigned.

  • May serve as direct supervisor for part-time, student, and/or temporary workers hired for the program.

Meeting and Event Coordination

  • Plan, organize, and schedule meetings in the office via videoconference, as well as for Nurse Anesthesia Program events as needed.

  • Reserve rooms and organize events and meetings.

  • Coordinate program committee meetings, including calendar scheduling, organization of attendees, agendas, and writing meeting summaries.

  • Facilitate new student orientation, faculty development training, symposiums, etc.

Travel and Purchasing

  • Coordinate travel arrangements for the Nurse Anesthesia Program.

  • Assist with Nurse Anesthesia Program purchasing and submission of professional development reimbursement for the Program Director, Assistant Program Director, and program faculty and students as needed.

  • Handle financial transactions generated by the program assuring reconciliation, and payment for materials, supplies, and equipment needed for the program.

Program Development and Evaluation

  • Assist in developing goals, objectives, and standards for the program.

  • Oversee collection and compilation of course, student, clinical site, and program evaluations; maintain faculty/clinical site/student data in Typhon Group database.

  • Organize the collection of data for accreditation reports.

Recruitment and Admissions

  • Facilitate recruitment and admissions processes for Nurse Anesthesia Program applicants.

  • Provide applicants with program promotional materials; supply webmaster with data, recruitment, and admissions information to ensure Nurse Anesthesia concentration webpage of the Graduate Bulletin, and that the College of Nursing website is up to date per COA accreditation guidelines.

Student and Course Management

  • Organize and maintain files for applicants, enrolled students, and alumna information.

  • Efficiently manage course roster and registration activities for enrolled students, ensuring clear communication with all stakeholders involved in the program, including staff and the registrar's office, on behalf of faculty and students as needed.

  • Assist with maintaining all course materials (course scheduling, syllabi, course evaluations, clinical evaluations, textbook purchases, etc.).

Education and Experience:

This position will be filled as an Education Program Coordinator at the level of Intermediate Support or Senior Support. The Intermediate Support level requires a minimum of a High School Diploma or General Equivalency Diploma (GED) for education and two years of relevant experience, or an equivalent combination of education and experience. Additional education and/or experience are required for higher-level positions.

Applicants must have excellent written and verbal communication and interpersonal skills.

It is preferred that candidates have knowledge of any of the following or similar systems:

  • Qualtrics survey software

  • Penn State's Graduate Admissions Decision System (GRADS)

  • LionPATH (Penn State's student information system)

  • SAP Concur

  • Workday

  • Canvas

Additional Preferred Qualifications

  • Proficient in the use of Microsoft Office 365, particularly Microsoft Excel.

  • Aptitude for learning new software programs and systems.

  • Knowledge of general office practices and procedures.

  • Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

The salary range for this position, including all possible grades is:

$38,300.00 - $61,000.00
