Description

Mazak is seeking a detail-oriented and organized professional to join our Sales Administration team. In this role, you will be responsible for creating and maintaining accurate customer records, ensuring compliance with export regulations, and supporting end-of-month sales closing efforts. You will collaborate with internal teams and distributors to verify information and ensure documentation meets regulatory and company standards. Additionally, you will provide critical information to headquarters to support the export of machinery to the USA. This role is ideal for someone who thrives on precision, problem-solving, and ensuring compliance in a global business environment.

Customer Information Verification:
* Verify and maintain accurate customer and product details for new and existing accounts across all Mazak Corporation territories.
* Use trusted sources such as online databases, industry materials, direct communication, and official records (e.g., U.S. Secretary of State databases, Mexico's Federal Taxpayer Certificate) to confirm business and product information.
* Ensure records are accurate and up to date across all relevant systems.

YMT/YMC-Trade-Control Compliance Coordination
* Ensure Self-Check Sheets (SCS) required by YMT (Yamazaki Mazak Trading Company) policies are completed accurately and submitted on time.
* Review export-related documentation to ensure it meets compliance standards, including customer screening and product approvals.
* Work closely with internal teams and distributors to ensure compliance while supporting the sales process.

Documentation and Reporting:
* Create and maintain detailed records to support compliance with YMT policies.
* Identify and resolve discrepancies in compliance documents to keep the sales process on track.
* Prepare reports on customer verification and compliance as needed for management review.

* Work with the Export Department to ensure proper documentation for compliance in Mexico and Canada.

Sales Process Support:
* Ensure customer documentation is accurate and complete before finalizing sales transactions.
* Provide guidance on YMT export compliance policies to support a smooth workflow.
* Become a go-to resource for customer information and compliance inquiries.
* Support the sales team during end-of-month closing, with flexibility for additional workload, including late hours, when needed.
* Stay informed on changes in METI and U.S. DOC export regulations.
* Oversee customer information responsibly, ensuring confidentiality and accuracy.
Education/Certification:

* A degree in business administration or a related field is preferred, but equivalent experience is welcome.

* Familiarity with international trade regulations, especially METI export control laws, is a plus.

* Experience in compliance or administrative roles within manufacturing, industrial, or export settings is beneficial but not required.
