Position Overview
Jayhawk Global is an education innovation center that advances and delivers non-traditional forms of learner engagement, including online degree programs, professional and workforce development, certifications, competency-based educational offerings, credit for prior experience, employee training, and enrichment learning. Jayhawk Global's mission is both internal, working collaboratively with all KU academic schools and departments, and external, serving all 105 Kansas counties, 50 U.S. states, and over 40 countries. The units in Jayhawk Global include Extended Learning (including the Aerospace Short Course Program, Professional Programs, and the Osher Lifelong Learning Institute), the Kansas Fire & Rescue Training Institute, Jayhawk Flex, Jayhawk Online, and the Center for Online & Distance Learning.

As an education innovation center, Jayhawk Global is tasked with developing and delivering self-supporting programs. This position assists Jayhawk Global units with business operations and financial management, analysis, and reporting for effective assessment of financial viability and mission value.

The accountant position is part of a Jayhawk Global administration team. This position is responsible for providing timely, professional service through a variety of fiscal tasks, including transaction processing, accounts receivable, reconciliations, reporting, and analysis utilizing the University's financial systems. The Accountant applies generally accepted accounting principles and procedures in working with specialized accounting records and reports. This position is responsible for the preparation of statements and reports relating to Jayhawk Global. The ideal candidate will provide quality customer service to internal and external clients, exercise good judgment, continually prioritize, have strong organizational skills, accuracy and attention to detail. The candidate should be technology-oriented, able to build relationships with supporting departments on the main campus, and a desire to work in a dynamic, innovative environment.

Job Description
35% - Financial Analysis, Tracking, Reporting and Processing
  • Submit monthly journals for cost allocation (marketing, registration transfers, credit card fees, etc.), journal corrections.
  • Assist staff with University financial systems and generating unit-specific financial reports.
  • Submit requests for payroll combination codes.
  • Oversee clearing cost centers for credit card fees and postage.
  • Analyze and reconcile university transactions as needed.
  • Organize and maintain administrative and financial files.
  • Assist with other accounting-related projects and tasks as needed.
  • Work towards continuous improvement on unit's business procedures and tasks.

35% - Accounts Receivable & Deposits
  • Take incoming calls, messages and emails regarding customer accounts; apply payments to outstanding receivables, including checks, cash, credit cards, wires, and internal settlements.
  • Reconcile A/R balances, run month-end reports, and send late letters for delinquent accounts.
  • Make cash and check deposits with the bank.
  • Reconcile payments and submit detailed deposit information to KU for all transactions processed through JG's registration software.
  • Troubleshoot problems and liaise with Jayhawk Global and other KU units to resolve questions.
  • Provide feedback on and suggest changes or updates to departmental policies and procedures.

25% - Accounts Payable and Procurement
  • Monitor and process (code and upload) vendor payments, including monthly payments on procurement cards.
  • Process supplies orders through KU procurement systems.
  • Process and monitor expenses, including travel reimbursements and routine charges.
  • Process purchase requests through appropriate systems (KU's FITC system, Endowment).
  • Assist staff with travel, procurement, and p-card questions and forms.

5% - Other Duties as Assigned
  • Other activities/duties may involve serving on various committees and working in individual and team settings to accomplish overall Jayhawk Global program goals.
  • Adhere to University of Kansas, KU Professional & Continuing Education and State of Kansas policies and procedures.

Required Qualifications
  1. Bachelor's degree from an accredited educational institution and one (1) year of related experience OR associate's degree from an accredited educational institution and three (3) years of related experience OR High school diploma and four (4) years of related experience.
  2. Excellent communication skills (written and oral) as evident in application materials and interview process.
  3. Experience using MS Excel and database systems, as evidenced in application materials.
  4. One year of customer service experience.

Preferred Qualifications
  1. Experience working in higher education.
  2. Experience working in a compliance-driven organization and experience handling confidential information as evidenced in application materials.
  3. Experience demonstrating strong interpersonal, written, and verbal communication skills, especially in a collaborative team environment, as determined by application materials and interview process.
  4. Experience working professionally and effectively with various groups, including faculty, staff, professionals, international participants, and continuing education attendees.
  5. Experience working in a fast paced environment that required adapting to new systems and processes, as evidenced by application materials.
  6. Knowledge of University of Kansas policies and procedures, as evidenced in application materials.
