Position Overview


Primary Purpose of Position
The Executive Assistant position now changing to Business Services Coordinator ( BSC) will assist the Nanoengineering Chair and department with student efforts to grow and operate the school and its various programs and components, which include project management, academic program, scheduling, and financial support for educational and research activities; functioning as the principal contact person for the Nanoengineering Chair and department. Work will involve decision-making and judgment calls on the department and students' functions. Contact with JSNN faculty, staff, partners, personnel and executives of NC A&T and the University of North Carolina at Greensboro ( UNCG), state agencies, elected or appointed officials and the public will be required. The BSC will also coordinate business functions such as events, personnel administration, and office budget monitoring.
Primary Function of Organizational Unit
The Joint School of Nanoscience and Nanoengineering is a school of both NC A&T and UNCG and focuses on research and education in the nanoscience and nanoengineering fields. The intent of the school is to not only become a world class education and technical institute but also to become an engine for economic growth in the Triad and North Carolina as a whole.
Work Hours 8am - 5pm, Monday - Friday

Key Responsibilities and Related Competencies


Required Competency Planning and Organizing Work/Supervision
Duties
-Prioritize and negotiate organizational needs regarding meetings, time frames and deadlines.
-Exercise delegated authority to speak on behalf of the Nanoengineering Chair regarding a variety of administrative and programmatic matters.


Required Competency Financial Management
Duties
-Works with management of research contract and grants, developing budgets for the research proposals, managing undergraduate and graduate students pay rolls, developing salary authorization forms, maintain after the fact forms for all faculty, students, research associates involved in research, organizing summer research workshops for external faculty members.
-Assists (as needed) with budgeting process and will be responsible for monitoring the department budget.


Required Competency Communication
Duties
- Proficient with digital, written, and verbal communications.
- Adept at modifying and adopting new processes which may include Artificial Intelligence.
- Assimilates and composes materials for the use of the Chairman and edits documents to incorporate the Chairman's style.
- Possesses expert knowledge and works with Microsoft Office - PowerPoint, Excel, and BANNER 9 System.


Required Competency Business and Records Administration
Duties
- Assists Nanoengineering Chair with project management, academic programs, academic scheduling, and onboarding of faculty, students, staff, and researchers.
- Assist with the academic program: includes semester scheduling, long-term scheduling, coordination of accreditation requirements such as faculty credentialing, syllabus archiving, and monitoring of student enrollments.
- Compiles and prepares annual reports for the department and independently researches information affecting the department's goals and the Chairman's decision-making needs.

- Understand basic statistics and be capable of preparing documents that describe student enrollments, research funding, and research spending.
- Facilitate event planning including commencements, seminars, and conferences.
