Position Summary
This incumbent reports directly to the State 4-H Leader and is the liaison with the State 4-H Leader's direct reports, the Associate Dean's Oce, and external constituencies including other administrators, faculty, staff, students, and external stakeholders. The role has full responsibility for coordinating the operations of the State 4-H Leader's office and coordinating the State 4-H Leader's activities and schedule to support the strategic initiatives of Georgia 4-H. The State 4-H Leader maintains a robust schedule with little time to prepare or process in between commitments. The 4-H Administrative Operations Coordinator will be needed to work independently, anticipate needs and respond accordingly, conduct searches and assimilate information, prepare presentations/documents/materials, manage schedules and appointments, communicate on behalf of the State 4-H Leader, be aware of and coordinate Georgia 4-H's compliance with University and 4-H policies and procedures, and also perform additional routine administrative tasks as necessary. Work involves evenings and weekends on occasion and some travel is necessary.

Duties/Responsibilities

  • Serves as primary liaison for the State 4-H Leader's direct reports, other UGA Extension administrators, 4-H faculty and staff for day-to-day oce operations and for key projects and initiatives.
  • Duties include frequent contact and interactions with internal personnel as well as external stakeholder groups both in Georgia and beyond.
  • Exercises signicant judgment in managing the State 4-H Leader's meeting agenda and complex travel schedule, and is responsible for prioritizing inquiries and information for the State 4-H Leader's office.
  • Supports team environment within State 4-H Office.
  • Responsible for working with Associate State 4-H Leaders to set oce conferences upon request and facilitating inter-oce communication upon request.

  • Conducts searches, assimilates information, and prepares briengs, presentations, and supporting documents/materials for all meetings and events, including brieng documents for internal and external speaking engagements.
  • Coordinates requests for speaking engagements and meetings.
  • Manages the State 4-H Leader's correspondence.
  • Primary responsibility for initiating, writing, and editing drafts of regular and ad hoc communications.

  • Coordinates Georgia 4-H's compliance with University, College, Extension, and 4-H policies and procedures including preparing communication, record-keeping, sending correspondence, following up on tasks, and other duties related to the variety of compliance items including, but not limited to: UGA's Policy on Program Serving Minors, 4-H Risk Management Training, Motor Vehicle Policy, Policies/Procedures/Protocol Training, Animal Use Policy, Travel Policy, Records Retention, Camera Policy, etc.

  • Organizes, coordinates, and provides support to ad hoc committees charged by the State 4-H Leader related to Georgia 4-H.
  • Responsible for ensuring appropriate support for ad hoc committees and serves as a liaison to the committee(s) and the State 4-H Leader.
  • Manages and coordinates and executes special projects, assignments, and events at the direction of State 4-H Leader. Includes initiating purchases, managing contracts or POs, and working with Business Managers as necessary.
