General Responsibilities |
The Front Desk Support works with the deans, office manager, support specialist, and students to support the day-to-day operations. The Front Desk Support is the first point of contact for the division office. The Front Desk Support duties include offering administrative support to the deans, office manager and specialist. |
Work Performed |
- Provides coverage of Division Office front desk/space for division-specific phone line, email
- Creates a welcoming environment by:
- Interacting collegially with students, faculty, college staff, and the general public to provide accurate information or direct inquiries to appropriate staff.
- Communicating knowledgeably, responsively, and with cultural competence at all levels with college and community when answering office telephones or greeting visitors on behalf of the Dean and the Division.
- Responding to internal and external communications in a timely manner, including in-person, electronic mail, and voicemail.
- Posts needed signage on classrooms to notify students of class changes/last-minute cancellations or room changes; clears outdated divisional signage
- Maintains division supply storage areas and breakroom supplies; monitors supply levels and copier/appliance issues (including troubleshooting and scheduling needed repair)
- Support Division supply distribution as needed and coordinates mail distribution and collection across different buildings as needed
- Support Division faculty with Test center pickup/drop off
- Receives packages and distributes/organizes appropriately
- Basic maintenance of Division spaces to ensure productive/safe environment; monitor/maintain as needed (ex: unplugging appropriate appliances)
- Assist with Division event catering and setup for special events (ex: Division Kickoff, etc)
- Support distribution of student items (ex: calculator loans)
- Support conference room keys, master key, lactation room swipe card access and tracking
- Support with textbook ordering - instructor copies
- Support with hiring logistics- scheduling interviews, booking rooms, etc
- Perform other related duties as assigned
