Job Title: Document Administrator

Location(s): Canton, MA

(Remote)

Description:


  • The role is for someone who has very strong excel skills.
  • There are no educational requirements.
  • Must have strong work ethic and being able to navigate excel at a high level.
  • Not necessarily write formulas or macros but being able to compare/pull data from one spreadsheet to another.
  • Excellent time management skills and self driven.
  • Looking for someone who will not be involved in the sales department nor strategy.
  • They will not be communicating directly with the customer.
  • Sales experience is not required.
  • Entry level position supporting an Enterprise Sales Account team.


Requirements:


  • Microsoft office. Ideal candidate will have 1-2 years experience in a similar role.
  • Good organizational skills.
  • Good time management.
  • Ability to prioritize tasks.


Daily Tasks

Daily review of Coupa for active and new PO's - PO's would need to be routed to correct individual(s) for proper contract/service bookings.


  • Manage ECS Teams Work Order sales requests.

    • Send to GOC opportunity requests under sales persons name adding ECS sales team as team members.
    • Link opportunity to Parent opportunity for uplifts / change in SOW.
    • Continuous follow up to sale person to ensure creation of quote in a timely manner.


  • Maintaining Client's Share Drive.

    • Keeping track of All active contracts (most current pricing, cost breakdown, SOW).
    • Keeping track of all deducts and capturing this information in Share Drive - but making sure that they are tracked to add to following year if applicable.
    • Keeping track of all non contractual service requests throughout the year and ensuring that they are properly tracked and added to recuring services for either that contractual year or the next contractual year.


  • 30% of Client's work is done by Subcontractors.

    • How to track who we are using and where - is there a way to analyze data for volume discounts from the subs.
    • Supplying data points for Sales and Management to work with Operations to increase in-branch capabilities
    • Changes with Subcontractors per branch


  • Monthly report on cost savings - to report back to Client by Sales

    • Example: monitoring, SOW reductions.
