Salary Range $68,000 - $78,000 DUTIES AND RESPONSIBILITIES: Development Specialist:
- Assist the Director of Development with a range of administrative tasks, ensuring smooth day-to-day departmental operations and supporting strategic initiatives.
- Coordinate internal communication within the Development Department to ensure team members are aligned on key initiatives, deadlines, and department-wide activities.
- Schedule meetings, prepare agendas, record meeting notes, and track follow-ups to ensure timely completion of tasks and ongoing progress on development projects.
- Maintain and update filing systems contracts and general correspondence, ensuring accessibility and organization for quick reference.
- Assist with securing and pricing department-wide resources, ensuring a cohesive approach to save time and effort.
- Conduct donor prospect research as requested for DOD or project donors, compiling relevant data and insights to help inform fundraising strategies.
- As requested, enter and manage donor information in the database, verifying accuracy and ensuring records are up to date to support DOD engagement efforts.
- Assist with special projects, including high-impact fundraising initiatives such as "The Way Out" campaign, helping manage timelines, logistics, and execution.
- As directed, support the planning and coordination of special events, donor appreciation gatherings, or corporate engagement activities to strengthen donor relationships.
- Assist the DOD in creating personalized donor engagement touch points, such as personalized thank you notes.
- Manage additional projects and responsibilities as assigned by the Director of Development, adapting to evolving department needs and contributing to overall success.
Volunteer Specialist:
- Work with programs and Corps to identify and maintain a database of volunteer opportunities. Ensure opportunities align with organizational needs and update listings regularly.
- Provide guidance on best practices for volunteer recruitment.
- Assist programs and Corps with posting volunteer opportunities by ensuring descriptions are clear, engaging, and properly formatted.
- Process background checks and verify clearances for all volunteer applicants, informing Corps Officers or program leaders of when volunteers are clear to serve.
- Develop and conduct training on the online volunteer recruitment system, ensuring staff can navigate the system and manage volunteer engagement effectively.
- Develop and conduct training on the kettle volunteer recruitment system for the holiday season, ensuring staff can navigate the system to effectively schedule and communicate with volunteers.
- Coordinate division-wide communications with information and resources for the holiday season, ensuring the field receives timely information.
- Assist in planning, organizing, and managing logistics for successful corporate volunteer events in the SF Metro region, working closely with the Regional Director of Philanthropy.
- Develop and provide corps with resources for recognition programs for volunteers, including awards, thank-you events, and appreciation materials.
- Establish pathways to match volunteer skills and interests with available opportunities in the field.
- Work with Emergency Disaster Services to recruit and train volunteer canteen teams to support emergency response efforts when needed.
- Maintain knowledge about current Protecting the Mission (PTM) policies, coordinating with the PTM director ensure volunteer processes comply with PTM guidelines.
- Create and maintain volunteer resources, orientation, training, and recordkeeping.
- Ensure compliance with territorial policies.
- Keep detailed records and provide reports to leadership about volunteer activity, including participation, background checks, and service hours.
- Collaborate support and training with the THQ Volunteer Coordinator, remaining updated on best practices and ensuring divisional volunteer efforts align with territorial or national standards.
- Other related duties as required. Support projects and initiatives that enhance volunteer engagement and program success.
Education & Experience:
- Associate's degree (required); Bachelor's Degree (preferred)
- At least one year of experience in an administrative, development, or volunteer management role
- Proficiency in Microsoft Office Suite and data management systems
