Purpose of Position
The Coordinator provides support for all administrative aspects of the Campus Recreation department, covering day-to-day processing tasks related to the financial, human resources, and operational. Primary duties include processing routine financial transactions, tracking expenses, assisting with invoicing for Campus Recreation, handling administrative procedures for student employees, labor cost tracking, and collaboration with departments like Financial Aid and HR.

Additionally, the role also involves assisting with maintaining policies and procedures documents, coordinating events, managing keys and records, and providing primary administrative support to the Director of Campus Recreation.
Primary Responsibilities
Finance Support:
* Process purchase requisitions and departmental transfers through SAP.
* Track revenue, expenses, and other transactions for Campus Recreation, including monitoring and reconciling multiple accounts.
* Communicate with coordinators to process payment information and engage in budget tracking, planning, and development.
* Accurately handle invoicing, deposits, PCI compliance, and processing of all revenue-generating transactions.
* Audit and file all procurement card accounts for the department and reconcile cards for self.
Assist in processing professional development and travel documents for Campus Recreation team members.
Human Resources Support:
* Coordinate human resource administrative procedures for the department, including processing new hire paperwork for all student employees.
* Track bi-weekly student employee labor costs for the department.
* Collaborate with Financial Aid and Human Resources to verify IWS/ FWS status, ensuring accurate and timely payments to employees.
Process travel reimbursements for candidates and external service providers.
Administrative Support:
* Maintain Campus Recreation policies and procedures documents.
* Plan and coordinate, in coordination with the Campus Recreation leadership team, various functions and events.
* Audit keys and maintain key management and control for the department and staff
* Manage the records management process for the department.
Provides primary administrative support to the Director of Campus Recreation.

Qualifications

  • Basic understanding of financial processes, budgeting, accounting principles, HR administrative processes, paperwork, and compliance requirements.
  • Ability to accurately handle financial transactions, including invoicing and deposits.
  • Familiarity with PCI compliance and other relevant regulations.
  • Knowledge of event planning and coordination, including logistics and scheduling.
  • Strong communication skills for coordinating with various stakeholders.
  • Effective organization, attention to detail, high ethical standards, and the ability to identify and resolve issues related to financial transactions,
  • Capacity to manage multiple tasks and responsibilities efficiently
  • Computer skills, including MS Office applications and the ability to learn financial management software.
