The Payne Institute for Public Policy is hiring for an Operations and Finance Manager to help oversee the Institute's day-to-day administrative operational needs.
Administration 28%

Assist the Management with operational oversight and manage day-to-day operations. Essential functions include, but are not limited to:
  • Ensure the Institute and University mission, values, guidelines, policies & procedures are implemented & maintained.
  • Support the Executive Team with management and coordination of projects through utilization of project planning tools.
  • Manage the calendar, which includes coordination and scheduling of various meetings, communicating with both internal and external constituents, finding appropriate meeting space, ensuring technology and printed materials are ready for meetings and taking minutes at meetings when appropriate.
  • Complete all necessary reports and/or utilize MAPS when appropriate. Make sure all expense reports are processed in a timely and accurate manner and ensure that expenses are allocated to the correct accounts.
  • Coordinate procedures and actions to maintain smooth operation of office. Help to coordinate planning and executing Payne Institute events. These responsibilities include: planning and organizing; knowledge of budgets; issuing invitations; making catering and other expenditure decisions and reservations, attending the events and coordinating event operations as needed.
  • Schedule hotel reservations, business meetings, catering, and travel accommodations for visitors.
  • Manage and support student employees that may be hired by the office.


Fiscal Support and Analysis 28%
  • Financial analyses, variance analyses, and management of office-specific revenues and expenses including creates and analyzes financial reports of the programs and initiatives with projections.
  • Preparation and oversight of budget requests that are accurate, strategic and take known variables into account. Communicate needs and priorities clearly and effectively to institute executives.
  • Identification and manage on behalf of the institute executives on issues of significant financial or budgetary consequence. Taking lead on budgeting with consultation with upper management and coordination of all budgets at the Payne Institute. Including: balancing of funds, future spending allotments, etc.


Contracting 16%
  • Work with HR to ensure employee contracts are up to date.
  • Manage project invoices, and other financial tasks. Liaise with procurement and ORA to ensure all payments are received.
  • Preparation and oversight of budget requests that are accurate, strategic and take known variables into account. Make recommendations on needs and priorities clearly and effectively to institute executives. Including: execute payroll reallocations, payroll actions, etc.
  • Identification and coordination with institute executives on issues of significant financial or budgetary consequence.


Engagement Manager 28%
  • Take lead in management tool, Monday.com. Train stakeholders on Monday.com for sales pitch opportunities.
  • Build and maintain relationships with stakeholders, clients, donors, and campus community.
  • Support fundraising and growth initiatives for the Initiative with our growth/sales lead and our Program Directors and Managers.
  • Work with the Mines Foundation to create funding opportunities and engage with the identified potential clients for funding opportunities.
  • Foster relationships with external stakeholders to make sure deliverables have met requirements and the research findings have been completed.
  • Support Initiative Directors and Managers for particular event planning when public engagement for funding takes place. Attend all funding sales calls and conduct sales pitches on behalf of the Institute.
  • Maintain website updates related to engagement initiatives.
  • Develop and execute engagement strategies to enhance long term partnerships.
  • Build and maintain cross department collaboration on campus and ensures alignment with Payne Institute's mission.
  • Track engagement metrics and provide analysis for improvement to the Institute.

Annual Rate

$70,000
