Position Summary Information
Primary Purpose |
The Senior Program Manager (
SPM) reports to the Department Chair. The position is responsible for the oversight and management of operations, administration, and budget processes for the Speech-Language Pathology Department in the School of Health Sciences. This position further supports the Department Chair with recruitment, hiring, and orientation of new faculty and staff, student orientation, and grant administration. The
SPM implements operational and project-specific reports and reporting applications to meet the strategic needs of the department. This position assumes direct oversight of all staff within the department. |
Essential Functions |
Program Administration & Operations:
- Independently and/or in coordination with the Department Chair, manages the operations and has overall responsibility for undergraduate and graduate program management for the speech-language pathology department.
- Oversees departmental projects, budget administration, grant budgets, and execution of assigned initiatives.
- Maintains departmental, operational, administrative, and academic archives, ensuring security and compliance with FERPA and HIPAA.
- Maintains and/or oversees the maintenance of departmental policies, student handbooks, catalogs, and forms with the Department Chair, Graduate Program Director, and clinic directors.
- Provides high-level support during program reviews, re-accreditation reports, and visits. Completes queries, reconciliation, transfers, and budget reports, assisting in tracking budgets and grants.
- Handles multiple project assignments and works effectively to meet deadlines.
- Resolves routine and complex problems with minimal consultation and prioritizes in a constantly changing work environment.
Faculty & Staff Management:
- Supervises and manages program staff and student employees, including hiring, training, performance evaluations, and disciplinary procedures.
- Assists with the hiring of visiting faculty for didactic and clinical courses and ensures compliance with HR policies.
- Conducts and oversees hiring processes for faculty and staff in compliance with HR policies. Supervises administrative assistants and student workers.
- Assists with training and onboarding of faculty and staff members.
Curriculum & Academic Support:
- Creates and/or supervises the creation of course schedules, academic calendars, and event schedules.
- Manages departmental assessment and oversees the management of both undergraduate and graduate student records.
- Supports and maintains the integrity of departmental databases, reports, Canvas sites, and student data.
- Develops and implements systems to support student and faculty success (e.g., Canvas site for incoming graduate students, SharePoint site for departmental resources, SharePoint for student portfolios, etc.)
Accreditation & Compliance:
- In coordination with the Department Chair, maintains documentation and provides data for accreditation reports, and assists with annual reports.
- Provides high-level support during accreditation visits and manages compliance with university, state, and national accreditation standards.
- Assist in the Program's grant pre-award processing, including fact-gathering, institutional resource identification, and obtaining supporting documents and forms.
- Provides CTC assessment and accreditation data and support to the Benerd College Director of Field Experiences, Assessment and Accreditation
- Supports the Director of Pacific Pathways to Healthcare Professions to assist with reports and data collection for grant candidacy.
Student Affairs & Admissions:
- Works with Undergraduate Admissions, the Registrar, and the Associate Dean of the School of Health Sciences Academic Affairs to oversee admissions, student registration, and support academic advising
- Works with Graduate Admissions, the Registrar, and the Graduate School to manage program admissions, student registration, graduation, certification, pre-licensure, and credential processes.
- Works with Undergraduate and Graduate Admissions/School of Health Sciences to coordinate admissions and recruitment efforts, including applicant engagement events, welcome and retention campaigns, and campus tours.
- Develops and oversees systems for tracking student and alumni records in compliance with regulations, including but not limited to FERPA and HIPAA regulations.
- Manages student registration, graduation, and pre-licensure processes.
Communications & Event Management:
- Edits departmental communications, reports, projects, and documents.
- Develop communication materials, including flyers, brochures, videos, and website content. Organizes and schedules program meetings, accreditation visits, advisory board meetings, and departmental events.
- Organizes and oversees student events such as Orientation, Commencement, Admitted Students Day, Summer High School Institute, and other departmental events.
- Coordinates and takes meeting minutes for monthly faculty meetings and annual retreat.
- Manages the department's social media accounts (e.g., Instagram, Facebook, etc.), working closely with the SHS Marketing and Social Media Manager
External & Alumni Relations:
- Serves as both internal and external representation for the Department to promote, recruit, coordinate, facilitate, and maintain connections between key stakeholders, providing technical and programmatic guidance about the particulars of the program offered to constituents in the region.
- Works with Alumni Relations, University Advancement, and other departments to implement alumni initiatives. Serves on university and departmental committees as needed.
Technology & Data Management:
- Uses advanced skills in Outlook, Word, Excel, Banner, OneDrive, Teams, and SharePoint.
- Manages database systems and internet research for program support.
- Supports and maintains the integrity of departmental databases, reports, Canvas sites, and student data.
- Provides back-up support for department-specific software (e.g., Avigilon, ClinicNote, Exxat, etc.)

Minimum Qualifications |
- Bachelor's Degree or equivalent (i.e., Two (2) years of full-time experience in the same/similar position is equal to one (1) year of completed post-high school education coursework).
- Five (5) years of experience providing senior-level administrative and professional program support.

Preferred Qualifications |
- Master's Degree.
- One (1) year of experience as the primary or lead administrative and professional program or business support.
- Experience conducting outreach with high-level external stakeholders.
- Experience in supervising staff and student workers.
- Proficiency in the use of MS Office, Banner, SharePoint, and HR systems.
- Demonstrated expertise in oral and written communication skills.
- Professionalism and high-level interpersonal skills that demonstrate effective, clear, and culturally sensitive communication.
- Experience with managing projects and budgets.
- Capacity to exercise diplomacy and deal effectively with people in a variety of circumstances in a calm, professional manner.
- Ability to adapt to emerging technology.
- Ability to assume responsibility and work effectively with minimum supervision.
- Ability to maintain strict confidentiality.

Hiring Range |
$68,640.00 - $86,273.00 per year. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate's qualifications, internal equity, as well as market and organizational considerations when extending an offer. |
