Job Description
Quantech is seeking a dedicated and detail-oriented Executive Administrative & Personnel Management Specialist to support the Space Systems Command (SSC)/SZ-BC. This organization is at the forefront of developing and sustaining highly classified Space Domain Awareness (SDA), Defensive and Offensive Space Control (DSC/OSC) capabilities, and space test range assets vital to national security. You will be instrumental in ensuring the efficient execution of routine business operations and providing comprehensive support in executive administration, office management, personnel management, and human resources functions. This dynamic environment requires a professional with a strong understanding of ground, near-space, space, and related operating systems. Additional Responsibilities: As the Executive Administrative & Personnel Management Specialist, your responsibilities will encompass:
- Providing comprehensive executive-level administrative support, including managing executive schedules, planning government travel (via DTS), coordinating staff activities, arranging meetings and events, handling information requests, managing mail distribution, and other clerical functions.
- Assisting and advising the Government in analyzing, interpreting, monitoring, disseminating, and resolving internal and external inquiries and Task Management Tool (TMT) tasks to meet deadlines. This includes reviewing performance reports, ensuring document compliance, facilitating interfaces with acquisition organizations, and monitoring front office tasks.
- Developing, documenting, modifying, transitioning, and maintaining standard functional databases to support organizational mission requirements, including the potential transition of existing software and databases.
- Assisting with managing Government civilian record keeping, serving as the primary point of contact for civilian human resource management functions, and providing guidance on relevant procedures, rules, and regulations. This includes assisting with identifying vacancies, creating justifications, completing personnel actions, coordinating security waivers, and managing manpower requests.
- Supporting the administration of meetings and reviews (scheduling, security, execution), including distributing objectives, capturing action items, recording detailed minutes, and ensuring timely dissemination.
- Assisting with the submission and processing of military and civilian awards and decorations, monitoring timelines, ordering plaques, updating recognition boards, assisting with All Calls, preparing award packages, ensuring regulatory compliance, and tracking the process through presentation.
- Developing and maintaining schedules utilizing standard Microsoft Suite applications (e.g., Microsoft Project).
- Providing multimedia and editing support for audiovisual presentations and deliveries.
- Researching, drafting, and editing articles, speeches, and testimony on organizational missions, operations, and initiatives, ensuring accuracy, appropriate tone, and consistency of messaging across internal and external audiences.
Job Requirements
Minimum Education & Certification(s): BA/BS Required Minimum Yrs. Experience and/or Expertise: 20 years of Specific and demonstrable experience working with United States Space Force programs and organizations. Demonstrated experience working with Microsoft Office Suite, Defense Civ Personnel Data Sys (DCPS), Customer Supp Unit App, Online Unit Manning Document (UMD) Clearance: Active TS (SCI Eligible) Location: El Segundo, CA Salary information below is a general guide only. Salaries are commensurate with experience and qualifications, as well as business and market considerations. Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.
Physical Demands This is largely a sedentary role mostly sitting; however, some filing maybe required . This would require the ability to move files, or boxes with file data, open filing cabinets and bend or stand as necessary, ability to lift up to 40lbs.
