Job Summary
Employees in positions allocated to this level of the series work under administrative direction as the primary assistant to the principal(s) of a major academic or administrative unit. They are responsible for initiating and coordinating the office support functions required for the effective implementation of administrative policies of the unit. Duties performed require extensive knowledge of the activities of the principal(s) and the organization, programs, policies, and procedures of the unit and the institution, and the ability to operate computer systems utilizing various office software packages.
Job Description
1. maintain an overall awareness of organizational activities of import and/or impact to the principal(s) and the unit; coordinates and expedites necessary actions;

2. serve as liaison and resource person between the unit and/or the principal(s), internal staff, external units, and outside agencies;

3. answer inquiries and resolve problems that require the interpretation, explanation, and/or justification of administrative and programmatic policies and procedures;

4. direct and coordinate all clerical functions of the unit with full accountability for results produced;

5. analyze work requirements for clerical staff of the unit with responsibility for establishing operating guidelines, training and implementing actions necessary to effectively accomplish the work;

6. participate in the analysis, design, and implementation of office processes and information systems;

7. coordinate logistical arrangements relating to conferences and meetings, and prepares necessary materials and travel for the designated
member(s) of the unit staff;

8. assist in the creation of publications for internal and external audiences (brochures, posters, letterhead, websites, social media accounts, etc.);

9. establish and maintain inventory records, conducting periodic checks for inventory control purposes;

10. compose correspondence and other documents that require the synthesis and integration of a variety of subject areas;

11. conduct research assignments involving the evaluation, selection and compilation of information from a wide variety of sources; prepare reports which require the synthesis or integration of a variety of subject areas or the summation of the individual contributions of staff members or sub-units; assists investigators with proposal preparation;

12. performs other related duties as assigned.
Minimum Qualifications
CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

  1. High school diploma or equivalent.
  2. Any one of the following from the categories below:

    1. Four (4) years (48 months) of work experience comparable to the third level of this series.
    2. Two (2) years (24 months) of work experience comparable to the fourth level of this series.

Knowledge, Skills and Abilities
1. Ability to analyze and develop office guidelines, procedures, and systems.
2. Ability to keyboard accurately at a rate of 40 net w.p.m.
3. Ability to select and develop appropriate criteria, methods and procedures to be utilized in order to solve problems.
4. Strong interpersonal and communication (oral and written) skills, and the ability to work effectively with a wide range of constituencies in a complex and diverse community.
5. Ability to utilize various software applications and online platforms.
6. Self-motivated and resilient.
