We are seeking a highly organized and proactive Fleet Coordinator to lead the transformation of APL's internal carpool and transportation services. This role oversees vehicle reservations, maintenance coordination, administrative tracking, and fleet-related budgets. The ideal candidate is a strong communicator with exceptional attention to detail and a forward-thinking approach to operations and customer service.

As APL's transportation needs evolve, this position will help introduce innovations that improve efficiency, sustainability, and user experience while reducing campus congestion.

Key Responsibilities Include...

Daily Fleet Operations

  • Manage reservations to ensure vehicle availability, cleanliness, fueling, and good condition.
  • Oversee satellite fleet locations and ensure functionality of kiosks and key return systems.
  • Supervise the reservation lifecycle from booking through return to maintain seamless service.

Customer Service & Communication

  • Provide excellent support for current carpool users and assist in implementing future system upgrades.
  • Partner with internal stakeholders to promote transportation options and gather user feedback.

Maintenance & Administration

  • Perform pre-/post-trip checks, monitor cleanliness, and coordinate scheduled service with the fleet shop.
  • Maintain accurate vehicle records and resolve maintenance or operational issues promptly.
  • Track administrative items such as EZPass use, tickets, and documentation.
  • Monitor the fleet budget and identify cost-saving opportunities.

Bikeshare Program Management

  • Coordinate daily redistribution, repairs, and upkeep of APL's bike fleet.
  • Analyze usage data to optimize rack locations and fleet size.
  • Recommend improvements, including technology for tracking and self-service reporting.

Special Working Conditions

  • Regular work hours are 8 AM-4:30 PM. Available to work during emergency weather events to include unscheduled after normal working hours to support the JHU/APL Snow Crew
  • Ability to lift up to 50 lbs, work outdoors in various conditions, wear safety shoes, and operate APL vehicles as needed.

Qualifications

You meet our minimum qualifications for the job if you...

  • Associate's degree in business or related field OR 2+ years of work experience
  • 2+ years of administrative experience in automotive or fleet support.
  • Proficiency in Microsoft Office (Word, Outlook, Excel) and work order/procurement systems.
  • Strong organizational, communication, multitasking, and customer service skills.
  • Ability to work independently and manage multiple projects.
  • Requires valid state-of-residence driver's license in good standing.
  • Ability to obtain and maintain a DOT Medical Certificate.
  • Hold US Citizenship or permanent resident status, as required to access APL's facilities and networks, subject to applicable laws.

You'll go above and beyond our minimum requirements if you...

  • Bachelor's degree in business or related field
  • 4+ years of fleet or rental operations experience (assistant or branch manager experience preferred).
  • Background with fleet or rental software (e.g., iMaint, Fuel Master, Veeder-Root).
  • Knowledge of Maryland MVA procedures.
  • Familiarity with APL systems (eTime, Property Database, EBSS).

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
