Title: Executive Assistant to the CEO and Division President
Location: Houston, TX
Salary: $83,000+
Focus: In this role as an Executive Assistant, you will provide comprehensive administrative support to Olin's President and CEO and the President of Chlor Alkali Products & Vinyls. This position requires a strong background in executive support, excellent organizational and time management skills, and attention to detail. The individual performing this role must be able to demonstrate integrity, discretion, and a high level of professionalism. The individual should be able to think critically, anticipate needs & maintain confidentiality.
Executive Assistant Essential Job Functions:
- Manage calendars, including scheduling meetings, appointments, and travel arrangements. Exercise discretion in committing time and evaluating needs.
- Serve as a gatekeeper, screening and prioritizing incoming communications and requests. Coordinate communication with board members, external stakeholders, and internal leaders as needed, ensuring timely responses and follow-ups.
- Coordinate logistics for meetings/events including room set up, meal arrangements, agenda preparation, minute-taking, and follow-up on action items.
- Prepare purchase requisitions, travel arrangements and expense reports; consolidate and prepare information and presentations with great attention to detail.
- Maintain professionalism and handle confidential and sensitive information with unwavering discretion.
- Work collaboratively with other Executive/Administrative Assistants to coordinate calendars with executives and team members from other departments, assist with meeting arrangements and answer inquiries. May occasionally be asked to cover vacations and other days off for other assistants.
- Provide administrative support to the office including collecting and distributing incoming mail, preparing, and mailing outgoing packages, ordering and maintaining supplies as needed.
Executive Assistant Minimum Requirements:
- High school diploma or equivalent. Bachelor's degree* preferred.
- Minimum of 5 years of experience supporting C-level executive. Experience supporting a CEO is strongly preferred.
- Demonstrated proficiency with Microsoft Office Suite; Knowledge of SAP purchase requisition processing preferred.
- Must possess and demonstrate a high degree of professional maturity and approachability.
- Must be able to demonstrate ability to work with and maintain the confidentiality of highly sensitive information.
- Must be a self-starter who can work independently, effectively prioritize and manage workload in a fast-paced environment.
- Must have exceptional follow-through, be detail orientated and able to multi-task effectively.
- Strong organizational, written and oral communication skills.
