Compensation Grade: P13Compensation Details: Minimum: $50,456.00 - Maximum: $50,456.00 AnnuallyDepartment (OPH) Office of Public HealthJob Description: Responsibilities The Administrative Aide is located in Grants Administration, Office of Public Health, and will have responsibilities associated with the administrative and fiscal support of grants awards involving multiple programs within the Department of Health. The Administrative Aide will be responsible for processing grant related transactions such as: purchase requisitions, contract budgets and vouchers, personnel related transactions and other grant related transactions. The incumbent will monitor group email accounts, review transactions for completeness and accuracy, resolve issues, update tracking systems, draft correspondence and prepare reports. Additional duties include answering the main phone line and directing calls, tracking equipment purchases, conducting follow-up, responding to inquiries and other grant related duties as assigned. Minimum Qualifications Bachelor's degree in a related field; OR an Associate's degree in a related field and one year of general office, secretarial, or administrative experience; OR three years of such experience. Preferred Qualifications At least one year of experience with tracking budgets, at least one year of experience processing purchasing paperwork and paperwork associated with contractual agreements; at least one year of administrative experience; at least one year of financial experience; excellent communication, interpersonal and organizational skills; experience reviewing documents for accuracy and completeness with proven attention to detail; and proficiency in MS Word and Excel. Preferred Qualifications Experience using Workday. Experience maintaining records, and compiling reports. Conditions of Employment Grant funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables, is required. Valid and unrestricted authorization to work in the U.S. is required. Visa sponsorship is not available for this position. The selected candidate must reside within a reasonable commuting distance of the official work location specified in the job posting and must also be located in or willing to relocate to one of the following states: New York, New Jersey, Connecticut, Vermont, or Massachusetts, prior to hire.
