Position Summary

The ideal candidate for this administrative hourly position is someone who pays attention to detail, is thorough, organized, a quick-learner, works independently with little supervision, can make sound decisions, and is committed to supporting the mission and values of the university.

This position will focus on day-to-day administration of budget duties, focusing on accounts payable, purchase order and budget tasks. This position will also support office management duties as appropriate.

Essential skills include critical thinking, reasoning, process orientation and detailed focus as well as using Microsoft Office tools, including Teams, Excel, Outlook, and Word and managing projects through shared resources, such as SharePoint, ClickUp and WorkDay.

Duties/Responsibilities

Budget tasks:

• Track, submit, and get approvals on invoices

• Use Workday to accurately research payments and vendor encumbrance information

• Use Workday to route encumbrances for approvals and reallocate Corporate Card payments

• Work with budget directors to open and maintain Purchase Orders

• Work with outside agency to track invoices for advertising, including doing chargebacks to departments. Also track digital advertising through numerous social media channels.

• Create spend-down spreadsheets to track cost centers and create dashboards for quick overview of budgets

• Answer questions around budget spending for budget managers.

Office administration tasks:

• Support office team of ~20 with office operations

• Support associate vice presidents with meetings, scheduling, calendar publication and research

Required Qualifications

• Strong communication skills, being able to follow verbal and written instruction.

• Ability to work with and maintain confidentiality.

• Must be willing to ask follow-up questions, when directions are not clear, or when necessary, to be able to complete the required job duties.

• Experience working with Microsoft Office tools, including Word, Outlook, Teams, SharePoint and Excel.

• Limited to 19 hours per week in a hybrid situation, both in office and remote.

Salary for Announcement

$22.00 per hour

Preferred Qualifications

• Experience working with SharePoint to manage shared processes/documents

• Understanding of accounting methods and processes
