Job Summary:

Does supporting the next generation of teachers, health care practitioners, and artistic creators sound exciting to you? Then consider becoming the Office Operations Manager for the UW-Madison School of Education Student Services team. Our mission is to serve prospective and current students, helping them find their way into and through our top-rated academic programs, providing all types of support so they can thrive along the way. We're looking for a positive, energetic, and proactive administrative professional to support our 23-person team and manage the business dimensions of our office. Well qualified candidates will have experience supporting teams with human resources, finances, and event management, and will demonstrate strong communication skills, attentiveness to detail, and initiative taking.


Responsibilities:
Manages a program and/or programmatic activities. Initiates, develops, and implements operational services that support a defined project, program, work unit, or function to advance program goals and objectives. May supervise staff and/or approve unit expenditures.

  • 30% Plans, implements, executes, and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • 20% Identifies workflow needs, contributes to the development of strategic and operational solutions, allocates resources, and implements new or revised unit operational policies and procedures
  • 20% Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies, procedures, and specifications
  • 5% Leads the development and preparation of periodic reports and financial statements, and records progress, status, or other special reports for leadership or external agencies
  • 5% May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • 20% Provide HR information and support to a work unit regarding more than one HR functional area to ensure timely and accurate processing. Maintains personnel records and assists with work unit operational policy development.


Tasks:

  • Participate actively in the unit leadership team, support unit managers and Associate Dean in executing strategic initiatives. Manages Associate Dean's calendar and provides basic administrative support.
  • Collaborates on projects which enhance the quality of service provided by the unit. Provide backup to Student Status Specialist, helping to supervise students working at the reception desk.
  • Support planning and execution of unit events, communications, policy and procedure development. Follows University policy and leverages financial, human and space resources creatively.
  • Conducts analyses, reports and research that support unit goals. Completes these tasks in a timely and thorough way.
  • Identifies budget needs especially pertaining to events, technology, space management, and overall office management. Supports annual budget development, especially in the area of HR expense planning.
  • Supports position development and effectively executes all parts of hiring processes. Supports employee on boarding and exiting.
  • Develops and maintains expertise in HR systems. Effectively resolves any payroll or other HR records problems. Communicates about HR issues with confidentiality and tact.

Five years of work experience in an administrative role(s), preferably at UW-Madison.
