DESCRIPTION:

Performs administrative support for the Director of Human Resources and Talent Acquisition Director. Also provides administrative and project support for the Human Resources team. Works closely with Administration to provide information and services to colleagues, external customers and vendors.

ESSENTIAL FUNCTIONS:



  • Performs administrative duties for management
  • Provides administrative support to Human Resources team to include phone calls, mail, scheduling and calendar management, travel arrangements, and other tasks as requested
  • Completes the EEO1 and Vets 100 report and assists with the Affirmative Action plan annually
  • Prepares all HR invoices for approval and payment
  • Manages the HR credit card
  • Completes monthly benefits reconciliation with HR Partner and Accounting monthly and as needed
  • Utilizes the LMS to create classes, enroll colleagues, and maintain colleague training records
  • Enters new employee data and runs reports in Customer Relationship Management database as needed
  • Processes certification bonuses and PE increase and bonuses for the firm
  • Researches and analyzes data for special projects and policy development
  • Responsible for monthly turnover reporting
  • Responsible for quarterly home- based colleagues report
  • Utilizes the HR database (UKG) to maintain colleague data, run reports, and complete employment verifications
  • Completes and processes colleague termination paperwork
  • Responsible for maintaining, retaining, and archiving all personnel records
  • Maintains a clean and well-stocked HR Closet
  • Serves as main point of contact for various HR-related vendor relationships
  • Manages the Employee Service Awards program from report generation to ordering/receipt of materials and delivery coordination
  • Assists HR team with ordering and coordinating colleague relations/hospitality items
  • Develops, proofs, and updates HR communications as needed, including presentations and organizational charts
  • Coordinates all logistics, meeting set up, materials, and communication for HR-led Connections
  • Holds responsibility for maintaining compliance on employment law posters for all offices
  • Participates in planning and execution of office or company events as needed
  • Changes addresses in Fidelity
  • Manages system for emergency communications (omnilert), adding new hires and removing terminations
  • Conducts regular audits of UKG and updates as needed.


  • Works with HR Partner to manage the wellness inbox and tracking for incentives
  • Works with the Talent Acquisition Generalist for onboarding meeting scheduling
  • Works with HR Partners to create job descriptions and benchmarks. Ensures the correct format and partners with IT to load into perform


KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS



  • Thorough knowledge of Microsoft Office (i.e., Word, Excel, PowerPoint, and Outlook)
  • Knowledge of basic HR processes and practices
  • Working knowledge of HR computer systems (HRIS, LMS)
  • Time Management - ability to prioritize and complete tasks efficiently
  • Judgment and Decision-Making Skills - ability to make reasoned judgments that are logical and well thought out, constructively questioning and analyzing information in order to make the best conclusion
  • Interpersonal - ability to interact positively and work effectively with others

MINIMUM QUALIFICATIONS:



  • High school degree or GED equivalent and five years of applicable experience OR college degree in administration or related field
