Job Summary

The Maintenance Coordinator / Planner-Scheduler plays a critical role in supporting JLL's Facilities Management and Engineering teams by overseeing the planning, scheduling, and coordination of all vendor-led maintenance activities across a multi-site portfolio. This position directly supports JLL's Asset Management initiative toward achieving a World Class Maintenance organization. Utilizing JLL's Computerized Maintenance Management System (CMMS), the Coordinator ensures that preventive and corrective maintenance tasks are properly assigned, executed, and documented to meet compliance standards and service level expectations. Acting as the primary liaison between vendors, facilities teams, and the client, this role is essential to driving operational excellence, system reliability, and high-quality service delivery.

Work schedule: M-F, 8-4 with some occasional overtime needed

Scope of Support

Supports a multi-site facilities portfolio and is fully dedicated to the planning and coordination of vendor maintenance services within JLL's integrated FM model. This job description is intended to outline the general responsibilities and qualifications for the role. It is not all-inclusive, and the scope of duties may evolve based on business needs. Additional tasks and responsibilities may be assigned as required to support operational excellence and service delivery.

Essential Duties and Responsibilities:

Maintenance Planning & Scheduling

  • Plan, schedule, and coordinate all third-party vendor maintenance activities using JLL's CMMS.
  • Maintain and update preventive maintenance (PM) schedules to align with asset needs and operational priorities.
  • Optimize scheduling to balance vendor availability with required service timelines and minimize disruption.

Work Order & Vendor Coordination

  • Monitor and manage incoming work orders, ensuring appropriate assignment to contracted vendors based on scope and location.
  • Track overdue or incomplete work and ensure service level agreement (SLA) compliance.
  • Coordinate vendor access, permits, safety protocols, and site logistics in accordance with JLL and client procedures.
  • Serve as the main point of contact for vendors during planning, execution, and closeout of maintenance activities.

CMMS & Asset Data Management

  • Ensure accurate entry, tracking, and auditing of all vendor work in JLL's CMMS.
  • Maintain up-to-date asset records, PM templates, service documentation, and compliance logs.
  • Submit data change requests as needed and support asset verification efforts.

Procurement & Inventory Support

  • Manage parts and materials procurement related to vendor-performed maintenance.
  • Generate purchase requisitions, track delivery timelines, and reconcile material usage within the CMMS.

Communication & Reporting

  • Provide clear and timely communication to internal stakeholders regarding maintenance activities, vendor performance, and scheduling impacts.
  • Participate in weekly maintenance coordination meetings with the FM and Engineering teams.
  • Produce reports summarizing work order status, PM compliance, vendor metrics, and risk items.

Support for Critical Environments

  • Coordinate vendor activities in critical environments (e.g., data centers, labs) to ensure full compliance with site protocols and zero-impact execution.
  • Ensure vendor awareness of and adherence to redundancy, access, and escalation procedures.
Qualifications & Experience:

Required

  • High School Diploma or equivalent
  • Five (5)+ years of experience in facilities operations or maintenance coordination, with a strong emphasis on third-party vendor management.
  • Proficiency with JLL-managed CMMS platforms (e.g., Corrigo).
  • Strong working knowledge of commercial building systems (HVAC, plumbing, electrical).
  • Excellent communication, organizational, and time management skills.
  • Advanced proficiency in Microsoft Office (Excel, Outlook, Visio); working knowledge of SharePoint.

Preferred

  • Experience supporting critical infrastructure or sensitive environments.
  • Bachelor's degree in Facilities Management, Engineering, or a related field.
  • Experience with CMMS data management and reporting tools.
