What is the Opportunity?

Provide support to Managing Directors and other employees within the Global Investment Banking group in Dallas, Texas.

Job Description

What will you do?

  • Answering telephone, taking messages and answering routine questions.

  • Maintaining vacation schedule and master schedule of whereabouts for staff.

  • Maintaining master copie

    The primary focus of position is to assist the team on various administrative tasks:

  • Distribute mail and coordinate courier service as needed.

  • Answer and screen telephone calls in a courteous and professional manner.

  • Make domestic and international travel arrangements and handle changes as needed.

  • Coordinate meeting arrangements (setting up conference calls, scheduling meeting rooms, arranging reservations, catering, etc.).

  • Manage multiple calendars.

  • Request Compliance pre-approval in MCO for client entertainment and gifts, follow-up as needed

  • Request Pre-Approval for Sponsorships and Donations following current policy and procedures

  • Prepare, track and manage expense reports via expense reporting system - this is a high priority.

  • Act as backup to other department staff members as needed.

  • Perform duties related to deal transactions in the MF Portal- Advisory and Underwritings (Negotiated/Competitive)

  • Assist with Competitive bids, as needed.

  • Review and comply with MF Policies and Procedures as well as Firm Policies applicable to your business activities.

  • Escalate operational risk loss events, control deficiencies and risks that you identify to your line manager and the relevant risk and control functionspromptly.

  • Complete RBC Learning tasks in advance of deadlines.

  • Responsible for the preparation of closed deal files for team in MF Portal.

  • Assist with document production as needed.

  • Other tasks as delegated/assigned.

  • s of organizational policy and procedure manuals and keeping them up-to-date.

  • Typing and distributing memos, meeting minutes and presentations for staff.

What do you need to succeed?

  • At least 5 years of experience, administrative experience preferred, but not required
  • Bachelors degree preferred, but not required.
  • Ability to prioritize and manage multiple tasks and projects.
  • Demonstrated computer skills, with an emphasis on MS Office (Word, Excel and PowerPoint).
  • Strong oral and written communication skills.
  • Excellent interpersonal skills with the ability to establish and maintain strong working relationships at all organizational levels
  • Good organization, follow-through, attention to detail and problem solving skills.
  • Ability to take initiative, function independently, and work in a team.
  • Maintain the highest standards of professional and ethical conduct with strong oral and written communication skills
  • Ability to keep confidential matters to self.
