Primary Function

The Engineering Office Administrator plays a crucial role in supporting facility operations with the engineering department. This position supports sustaining facility requirements, supports engineering project needs, manages defined engineering and laboratory documentation, creation and maintenance of files and documentation, and ensures efficient daily ope rations. Supports process workflows as defined by the engineering teams daily. Supports the Vice President of Engineering, Director of Engineering, and Engineering Managers.

Responsibilities
  • Engineering Processes: Support requests and requirements for office and lab process. Identify and update necessary personnel to workflows with the engineering team.
  • Purchase Requisitions: Coordinate purchase requisitions for engineering supplies, equipment, and services, ensuring cost-effectiveness and timely delivery.
  • Special Projects: Assist engineering teams with special projects by coordinating resources, schedules, and documentation as needed.
  • SharePoint Administration: Maintain and administer SharePoint sites and document libraries for the engineering department to ensure organization and accessibility.
  • Budget Tracking: Manage and track expenditures against the engineering department budget, providing regular reports and assisting with forecasting to the Director. Provide decision support to the Director by creating, updating, and analyzing spend reports. Identify, update and correct misallocated charges with Controller on a regular basis.
  • Administrative Support: Provide general administrative support to engineering teams, including scheduling meetings, preparing agendas, and managing correspondence.
  • Documentation Management: Oversee document control procedures to ensure accuracy and accessibility of engineering documents, drawings, and specifications.
  • Vendor Management: Develop and maintain relationships with vendors and suppliers, and ensure compliance with company policies.
  • Facilities Coordination: Coordinate office space and facilities requirements for the engineering department to support a productive work environment. Create and maintain 5S documentation for the Lab - serve as an auditor to 5S process.
  • Process Improvement: Identify opportunities to streamline administrative processes within the engineering department to enhance efficiency.
Qualifications
  • Relevant experience in business administration, engineering, or related field.
  • Minimum of three years proven experience in office management or administrative support, preferably in an engineering or technical environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and previous SharePoint administration, SAP, and Business Client (PLM) a plus.
  • Familiarity with budget tracking and financial reporting.

Preferred Qualifications:

  • Associates degree and business knowledge.
  • Knowledge of management processes and documentation.
  • Project management experience.
  • Strong organizational skills and ability to manage multiple priorities and deadlines effectively.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive information with discretion.
