Work Schedule
8:00 am - 5:00 pm; Monday - Friday with occasional evening and weekend hours required, as necessary.

Primary Purpose of Position
This position serves as an Admissions Processor - with responsibility for supporting the effective and timely processing of undergraduate applications for Charlotte Online programs, ensuring accuracy, compliance, and a student-centered experience. This role is responsible for reviewing, and analyzing applicant data across multiple systems such as Slate and Banner, with the goal of facilitating prompt admissions decisions-typically within a 1-2 week turnaround. The Admissions Processor identifies and resolves routine issues related to admissibility, documentation, and data integrity, escalating non-standard concerns to supervisory staff. In addition to rendering decisions as regards applications, the role assists with records administration, annual updates to admissions letters, and the development of standard reports to monitor trends and improve service delivery.
This position plays a key role in advancing enrollment goals through a focus on operational efficiency, customer service, and process improvement. By providing clear and timely communication tailored to each applicant's stage in the admissions process, the Admissions Processor enhances the applicant experience and contributes to institutional retention and yield objectives. The position also supports internal training, monitors application submission patterns, and proactively recommends alternative programs for students who do not meet eligibility requirements. Through consistent attention to detail, responsiveness, and collaboration with internal and external stakeholders, this role ensures that admissions processes are streamlined, compliant, and aligned with the School of Professional Studies' growth and service objectives.
The Admissions Processor also contributes to daily operations by responding to Salesforce Cases to address applicant inquiries and ensure timely follow-up. This position is responsible for checking and forwarding voicemails to the appropriate staff members, helping to maintain smooth communication channels. In support of cross-functional collaboration, the role provides backup assistance to the program and student support team with Banner edits when needed. Additionally, the Admissions Processor plays a role in monitoring conversion rates by regularly reporting updates and insights to leadership, supporting data-informed decision-making and continuous improvement efforts.The Admissions Processor engages in targeted outreach via phone, email, and text to encourage students to complete critical on-boarding steps such as orientation modules, NSO payments, and submission of their Intent to Enroll forms. This outreach also includes reminders to finalize course schedules and attend required advising appointments, helping to reduce barriers to enrollment and support a smooth transition into the program.
Minimum Education/Experience
Required Minimum Qualifications:

Bachelor's degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Job Duties

  • Supporting prospective students through the admissions process by managing applicant records, analyzing data including transcripts, and delivering timely accurate information when decisioning applications.
  • Comfortable working across multiple platforms such as Slate and Banner. and will assist in identifying and resolving issues related to admissibility, application completion, and program eligibility.
  • Strong communication skills are essential, as this role involves regular interaction with students, and campus partners.
  • Contribute to continuous improvement efforts by recommending updates to procedures, identifying data trends, and participating in student engagement initiatives.
  • Supporting student staff, assisting with internal training materials, and ensuring compliance with institutional policies and federal regulations such as FERPA.
  • Requires superior organizational skills, attention to detail, proactiveness, excellent written and verbal communication abilities, and a passion for supporting students on their education journey.

Departmental Preferred Experience, Skills, Training/Education

  • Bachelor's degree in higher education administration, student affairs, counseling, or a related field (Master's degree preferred for roles with developmental or supervisory components).
  • Minimum of 2-3 years of experience in student services, admissions, financial aid, residence life, or other higher education administrative functions
  • Demonstrated experience interpreting and applying federal, state, and institutional policies, including FERPA and HIPAA in daily work processes.
  • Proficiency in student information systems (e.g., Banner, Slate, Colleague) and data management platforms used for admissions, registration, or financial aid.
  • Strong problem-solving and decision-making skills, with the ability to recommend solutions within established guidelines and policy frameworks.
  • Familiarity with accreditation processes and experience collaborating with accreditation bodies or external agencies.
  • Experience planning and coordinating student programs, events, or services, including budgeting and resource management.
  • Ability to ensure that all admissions processes align with institutional policies and relevant federal and state laws
  • Ability to work independently while maintaining attention to detail and ensuring that all tasks are completed accurately and on time; contributing to a team-oriented environment as well.
  • Willingness and ability to travel for student recruitment, professional development, or program coordination.
  • Exceptional organizational skills with a demonstrated ability to prioritize tasks and manage competing deadlines in a fast-paced environment.
  • Excellent interpersonal and written communication skills, with a proven ability to build and maintain effective relationships to including students, parents, faculty, and external stakeholders.
  • Demonstrated commitment to providing high-quality, student-centered service in a dynamic university environment.
