Job Overview

The Program Coordinator, Leadership Development - Temp is responsible for managing the logistics, administrative functions, and operations for a series of 12 leadership development conferences held in New York City over a three-month period. This role is central to ensuring the successful execution of a high-impact, immersive leadership experience for approximately 1,700 participants traveling from across the country. This is a temporary (6 month) position and is based out of New York, NY.

What You Will Do



  • Serve as the primary logistical point of contact for all conferences, ensuring seamless coordination across venue, hotels, vendors, program team, and participants.
  • Coordinate with AAA to manage participant travel, accommodations, and event registration processes.
  • Manage all catering orders.
  • Liaise with venue on room setups, AV, catering, and hospitality elements.
  • Ensure all program and participant materials are prepared and available for each conference.
  • Manage communications with 1,700 participants, ensuring timely updates and a welcoming experience.
  • Track budgets, invoices, and vendor contracts.
  • Oversee on-site event execution and troubleshoot real-time issues with calm professionalism.
  • Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities.
  • In addition to the essential duties mentioned above, other duties may be assigned.


Skills You Will Need

Project Management: The ability to plan, execute, and oversee projects, ensuring they are completed on time, within scope, and on budget. This includes organizing tasks, managing resources, mitigating risks, and coordinating with stakeholders. Proficiency in project management methodologies and tools, along with effective team leadership, is essential.

Attention to Detail: Precision in managing logistics, budgets, communications, and materials without overlooking the small but critical details.

Customer Service Orientation: Anticipates participant needs, proactively addresses concerns, creates a warm, positive, and solution-oriented experience for all participants and stakeholders.

Interpersonal Effectiveness: Interact and communicate effectively with others. Is considerate and approachable; values others, respects and welcomes others' perspectives. Does not neglect the soft issues.

Who You Are



  • 3-5 years of experience in event planning, project management, or operations - preferably in leadership development, corporate training, or hospitality.
  • Proven ability to manage complex projects with many moving parts and stakeholders.
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Strong proficiency in Microsoft Office products - particularly Excel and Outlook.
  • Adept at working under pressure and solving problems in real-time.
  • Must be able to work independently with minimal supervision.
  • Ability to work a flexible schedule based on department and store/company needs. Must be able to be on-site for all leadership conferences.
