Key responsibilities

  • Coordinate activities for all department residents, fellows, attendings, visitors and associated personnel including but not limited to on-call scheduling, credentialing, visa applications, compliance and on-boarding.
  • Planning, preparing and organizing logistical and administrative requirements for events such as lunch time learning seminars, department retreats, seasonal employee outings and holiday parties.
  • Maintain and manage the Executive Director's outlook calendar and responsible for scheduling and organizing department meetings, preparing agendas, preparing expense reports and taking meeting minutes (Clinical Operations, Healthcare Value, Culture Committee, Staff Meetings).
  • Work on various department projects including administrative and clinical 360 degree evaluations process, various team building activities and assisting onboarding and appropriate systems access for new hires, attendings, rotators, visitors and associated personnel.
  • Work very closely with Executive Director, Department Chief and the leadership team.
  • Answer, screen and route calls and messages while providing standardized information within scope of knowledge and authority.
  • Manage projects helping follow through of pre-determined project plans and organizing follow-up meetings to ensure deadlines are met and expectations are exceeded.
  • Coordinate schedules with outside groups and facilities from the USA and throughout the world.
  • Oversee Department record keeping and general office requirements such as tracking employee certifications, physician licensing and re-credentialing, yearly reviews and milestones as well as overseeing office and technology supply par levels for general maintenance.
  • Create and maintain the weekly department newsletter and slideshow

Minimum qualifications
Education:

  • A high school level of education. Bachelor's degree preferred

Experience:

  • Two (2) years of related experience
  • Analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.
  • Ability to communicate effectively both orally and in writing, and provide empathy in difficult interpersonal situations.

Schedule: M-F. 40hrs/w, hybrid (3 onsite, 2 remote - after training period)
