What this job involves -

The Workplace Ambassador serves as a key support role responsible for creating a positive workplace environment while ensuring smooth daily operations through mail management, vendor coordination, and workplace amenities maintenance.

Your day to day:

Key Responsibilities

Mail Management

  • Sort, organize and distribute mail to appropriate recipients daily
  • Process outgoing shipments (FedEx, UPS, USPS) as needed
  • Apply correct postage and maintain postage meters
  • Record and track registered mail

Workplace Amenities & Supply Management

  • Purchase and manage office supplies for the entire floor, including executive offices
  • Maintain snack inventory for both executive and general office areas
  • Coordinate with vendors like Canteen to place orders and manage stock
  • Ensure feminine products in women's bathrooms remain stocked
  • Maintain and ensure cleanliness of break rooms and collaborative spaces

Vendor & External Coordination

  • Coordinate with cleaning services to ensure proper maintenance of offices
  • Work with Cintas for mat changes and first aid kit updates
  • Oversee maintenance of fire extinguishers through external vendors
  • Maintain working relationships with Allied Security, Iron Mountain and other facility vendors

Administrative Support

  • Assist with document scanning and filing as needed
  • Help book conference rooms for meetings and guest visits
  • Support shipping requests, particularly to executive locations
  • Assist with badge creation for new employees based on HR's requirements
  • Submit work orders for facility repairs and maintenance

Customer Service

  • Provide excellent customer service to employees and visitors
  • Respond to inquiries and address concerns promptly and professionally
  • Serve as a resource for workplace policies and procedures
  • Support workplace events and activities as needed

  • High school diploma or equivalent
  • Proven experience in customer service or administrative support
  • Excellent interpersonal and communication skills
  • Strong organizational abilities with attention to detail
  • Proficiency with office technology and systems
  • Professional and approachable demeanor
  • Ability to multitask in a fast-paced environment

Cross-Departmental Collaboration

This role requires regular interaction with multiple departments including Executive teams, Controller team, Legal team, eCommerce team, IT team, and HR team.
