We plan and execute a wide range of events-from employee experience events to executive briefings and customer-facing experiences-to foster collaboration, innovation, and a vibrant workplace culture. About the Role

We are seeking an experienced and organized Workplace Events Manager to join our team! This person will be a crucial member of the Workplace Events team producing impactful events at scale across our San Francisco offices. As a Workplace Events Manager you are a detail-oriented person who is scrappy and can work in an extremely fast-paced environment, while also being an excellent communicator and have an operations mindset. You will partner with key cross-functional teams across the entire company to build and support a wide variety of internal and external facing events in our offices. You will serve as a conduit to critical workplace support teams such as catering, AV, facilities, and corporate security, plus work cross-functionally with other key stakeholders such as design, procurement, communications, and marketing. You are comfortable working with a wide range of organizational tools such as Jira, Google docs/calendar, Notion, Airtable etc. Familiarity with event management tools such as Prismm and Swoogo are a plus. This role demands a proactive and organized professional who thrives in a fast-paced environment and is adept at managing multiple projects simultaneously.

This role is based onsite in San Francisco, CA and requires being in-office up to 5 days per week, with occasional evening work as needed.

In this role you will:

  • Oversee the planning, coordination, and execution of a diverse range of events across OpenAI's San Francisco offices.

  • Contribute to the operationalization of the Workplace Events program processes as the team continues to scale events, building and running processes for event intake, booking/scheduling, tooling, and stakeholder communication.

  • Oversee on-the-ground event logistics, including vendor management, event production oversight, and real-time problem-solving.

  • Collaborate with internal and external stakeholders to meet event objectives and ensure a high level of satisfaction among participants.

  • Manage budgets and timelines for events.

  • Develop event success tracking through participant feedback and other relevant metrics, making data-driven recommendations for future improvements.

You might thrive in this role if have:

  • 6+ years of event management experience or, ideally in a workplace/employee experience team.

  • Strong organizational and project management skills, with a proven ability to juggle multiple events simultaneously.

  • Proactive self-starter with experience working in face-paced, high growth companies.

  • Can roll up your sleeves and get things done but also be able to plan for the future as our Workplace Events program continues to scale.

  • Excellent communication and interpersonal skills, capable of working effectively with team members and leaders at all levels.

  • Creative thinker with a keen eye for detail and a commitment to delivering high-quality, memorable events.
