Position Summary
Organization: Center for Social Sustainable Systems (CESOSS) Location: 211 10th St SW Albuquerque, NM 87102 An Off-Campus Work-Study Position - MUST have a Work-Study Award Summary The Program Coordination and Administrative Assistant will support daily operations, communications, scheduling, event coordination, and grant-related tasks at CESOSS. This position plays a key role in maintaining organized workflows, coordinating program efforts, and providing direct support to the Executive Director and Operations Specialist. Duties and Responsibilities Coordinate internal communications and daily activities related to CESOSS programs and initiatives.
Assist with grant-related tasks, including research, editing, submitting proposals, and updating a grant tracker.
Provide administrative support to the Executive Director and Operations Specialist.
Help organize meetings, events, and project logistics.
Collect reports from contractors, conduct an initial review, and summarize findings or concerns.
Prepare agendas and take meeting notes for internal staff meetings.
Monitor the info@cesoss.org inbox, triage messages, and escalate relevant communications to leadership.
Maintain and send weekly reminders to the Executive Director about meetings, urgent tasks, and priorities.
Support ARC-related follow-up, scheduling, and notetaking.
Assist in creating forms, collecting data, maintaining databases, and updating action plans.
Perform other administrative duties as assigned by the Operations Team. Employment Type Part-Time (Up to 20 hours per week) Work Schedule Flexible schedule; hybrid, with availability for meetings and occasional in-person gatherings if required. At least 15 hours per week. Supervision Received Reports directly to the Executive Director. Works collaboratively with the Operations Specialist and CESOSS staff.

Preferred Qualifications
Minimum Job Requirements High school diploma or GED; at least 2 years of related administrative or coordination experience.
Strong written and verbal communication skills.
Highly organized and detail-oriented.
Proficient in Google Workspace (Docs, Sheets, Calendar, Gmail).
Ability to multitask and work independently or collaboratively in a team environment.
Preferred Qualifications Associate's or Bachelor's degree in public administration, nonprofit management, communications, or a related field.
Prior experience with grant writing or nonprofit fundraising support.
Experience with meeting coordination, data tracking, or office platforms. Administrative support experience
